Parts Clerk The Parts Clerk will spend a significant amount of time working in an office environment in support of the Parts Department and the Maintenance Department and will be performing administrative and office duties of a complex and challenging nature. This position is based in Hillburn, NY in supporting the Lower Hudson Transit Link (LHTL) and Transport of Rockland (TOR) contracts. Key Responsibilities: Performs administrative duties related to the purchase and delivery of parts, stock, and non-stock items; reviews vendor cost estimates, price lists, and contracts. Takes inventory of parts and equipment and maintains inventory records. Conducts cycle counts, inventories and obsolete parts surveys, as directed.Drives company vehicle to pick up incoming stock or to pick up and deliver parts to units in other buildings or locations.Contacts suppliers/vendors to obtain the best prices. Initiates complex requisitions with explicit ordering specifications. Maintains parts catalogs, order parts, track, and monitor purchase orders under established purchasing guidelines. Handles accounts receivables and adheres to budget. Creates and processes purchase orders and enters work orders into the maintenance software system.Contacts manufacturers, vendors, and suppliers as needed regarding service, delivery, and new products. Receives incoming orders and stores material. Maintains warranty records and return defective items.Organizes and maintains files, a variety of lists, control records, logs, forms, data sheets, requisitions, purchase orders and other related documents. Perform other duties as required. Qualifications: 1-3 years of experience in a parts/inventory environment.Effective computer, time management and organizational skills.Excellent communication, priority setting, and decision-making skills required.Experience working in a fast-paced, high-pressure environment.Must be flexible, must be able to demonstrate poise, tact, diplomacy and possesses good judgment and discretion.Detail oriented, well organized, and possess effective time management skills.Must be able to work as a member of the team.Ability to interact professionally with internal and external customer on all levels and be able to work well with diverse groups.Physical Requirements: 80% of work is accomplished in doors and in well-ventilated facilities.20% of work is accomplished outside of the facility.Performs physical activities that require considerable use of the arms, repetitive hand-wrist motion, and legs and moving the whole body, such as climbing, lifting, balancing, walking, stooping, and handling of materials.May be required to lift up to 25 pounds.Exposure to considerable amounts of dust, vehicle fumes and noise.Must be able to travel for company training, meeting or support missions.
