Part-Time Administrative Assistant I
Title: Part-Time Administrative Assistant I Department: Van Houten Library Reports To: University Librarian Position Type: Staff Position Summary: The NJIT Library seeks a part-time Administrative Assistant I to work in the Robert W. Van Houten Library. The position requires working onsite to provide a broad range of administrative and staff support duties. The position reports to the university librarian and works a typical weekly schedule of fourteen hours (14) from 9 AM to 5 PM on Monday and Tuesday. Essential Functions: 1. Provides general office support, drafts and sends correspondence, and orders and distributes supplies. Addresses inquiries, concerns, or complaints and directs them to the person or department as appropriate. 25% 2. Assists with payroll activities for employees and student employment processing. Coordinates and processes student job postings. Codes and updates leave requests in absent control on behalf of the University Librarian. 25% 3. Assists with administering routine/non-routine department details, such as customer service and greeting visitors. Coordinates selected administrative matters, including the use of library and university systems. Processes financial quotes, verifies expenses and approves invoices, processes travel and associated reimbursements and petty cash, and creates requisition/purchase orders. 20% 4. May perform budget and finance-related duties, such as requesting budget transfers, monitoring accounts, running reports, and preparing and submitting journal entry forms. 10% 5. Arranges and schedules meetings, including space and equipment; secures travel arrangements and accommodations as requested. 10% 6. Performs other duties as assigned. Coordinates and supports the University Librarian’s office with other administrative duties as assigned. 10% Prerequisite Qualifications: 1. High school diploma or GED. 2. At least 1 year of experience One (1) to three (3) years of experience in student employment processing, budgeting, or related field. 3. Demonstrated customer service skills, computer skills, and clerical experience. 4. Punctuality, reliability, and excellent attendance. 5. Strong oral and written communication skills. 6. Able to make sound judgments, takes initiative, and is detail-oriented. 7. Able to push (up to 50 pounds), lift, and bend. 8. At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate, to the university's satisfaction, an equivalent combination of education and experience specifically preparing the candidate for success in the position. Preferred Qualifications: 1. Associate degree preferred. 2. Experience working in a library setting 3. Advanced experience working with Microsoft Excel and Google Sheets. 4. Previous experience working in a university setting. 5. Previous experience with an ERP financial and/or payroll system. FLSA: Part-Time Non-Exempt
