Posting Summary:
The Purchasing Department within the Office of Business Services at Teachers College, Columbia University, is seeking a part-time Purchasing Clerk.
Job Summary/Basic Function:
Reporting to the eProcurement Manager, the incumbent will be responsible for managing clerical tasks related to procurement activities, including but not limited to detailed data entry, clerical duties, and customer service. The part-time Purchasing Clerk will also ensure all purchasing activities align with College policies and procedures, and maintain accurate records for smooth workflow.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:
Process Orders and Requisitions
● Track and update the status of open purchase orders, ensuring timely processing and follow-up.
● Assist with the closing of purchase orders.
● Review and reconcile invoices and credit memos, addressing and resolving any discrepancies.
● Assist with supplier requests and inputting information into the College’s financial management system, BANNER.
Administrative & Customer Support:
● Monitor the purchasing team’s inbox, answer phones, and respond to inquiries from internal customers and suppliers.
● Provide general administrative support for the purchasing department.
● Handle clerical tasks as needed to support efficient department operations, including data entry and filing.
● Communicate with suppliers, carriers, and internal departments as needed
● Assist in special projects to support the team's needs

Minimum Qualifications:
● High School Diploma
● 1-2 years of experience in a customer service, clerical or administrative setting
● Proficiency in Microsoft Office Suite with the ability to learn new technology
● Excellent customer service skills, maintaining a customer-focused approach, to ensure the purchasing teams meet internal service expectations
● Strong attention to detail and accuracy in data entry and record-keeping
● Effective communication skills, both written and verbal
● Ability to prioritize and handle multiple tasks efficiently, often with strict deadlines
● Proactive approach to problem-solving with the ability to address issues independently or escalate them when needed
● Must be reliable, flexible, and willing to assist
Preferred Qualifications:
● Associate's degree
● Experience in a purchasing role
● Familiarity with purchasing functions and experience in database management.
