Job Description:

Position Summary:

This role is responsible to administer the department's parts inventory program to include data entry, maintaining of department files, running reports and providing administrative support. Maintain the department record keeping for labor/payroll, repairs/projects and equipment. 

Here’s what you’ll do: 

Enter information from source documents into system(s) as required in a timely and accurate manner (i.e., request orders, repair orders, vacation, time and attendance, equipment usage reports etc.).  

Maintain, update and correct data in system(s) and resolve routine issues as necessary. Assemble, distribute and maintain department files and reports accordingly, to include labor/payroll reports, repairs and project status reports, etc.  

Maintain the parts inventory program to include price comparison, ordering, receiving, storage, etc. Verify and process purchase/repair orders and invoices (i.e., validation, coding, submission and filing).  

Assist with researching and resolving issues related to parts inventory, repair orders, etc.  

May be responsible to order and monitor parts usage to ensure appropriate inventory levels.  

Submit request for bids to parts vendor, track bids and cost of parts by vendor; ensure accuracy of parts for repairs; track and submit warranty information and monitor credits as required.  

Additional responsibilities may be assigned as needed. 

Here’s what you’ll need:  

High School Diploma (Required) or equivalent (GED) 

Two years' experience in an administrative role and experience with inventory control, distribution or related area. 

Good written and verbal communication skills; ability to work collaboratively with cross functional departments and external vendors.  

Good data entry, organizational and attention to detail skills.  

Basic computer skills and working knowledge of Microsoft Office (i.e., Word, Excel).  

Experience with purchasing, ordering and related databases/systems preferred.

While performing the duties of this position, employees are subject to a warehouse environment and may frequently be exposed to changes in temperature and humidity based on assignment. The noise level in the work environment is usually moderate to high. Employees must be able to work weekends, holidays, days and night hours, and overtime as necessary and as assigned, and must be able to work in the condition specified for 8-10 hours shift as assigned. Travel requirements vary by assignment.
