Job Summary:
Join our compassionate and dedicated team as a Patient Services Coordinator, where you will play a vital role in supporting individuals on their journey to recovery from substance use disorders in our Outpatient Clinic. In this position, you will have the opportunity to make a meaningful impact by providing exceptional service to clients and assisting our clinical staff. Your contributions will help ensure that our clients receive the best care possible while navigating their recovery journey.

As a Patient Services Coordinator, you will perform a variety of clerical duties, act as the first point of contact for prospective clients, and support the clinic staff in various administrative tasks. Your role will be essential in maintaining efficient operations and ensuring that all client needs are met promptly and professionally.

Key Responsibilities:
· Act as the first point of contact for prospective clients, providing a warm and welcoming experience.
· Complete acuity screening and clinical registration for new clients.
· Provide support in arranging meetings, booking rooms, and taking minutes as required.
· Track and organize various spreadsheets with data on programs and clients as instructed by the Clinical Supervisor.
· Maintain systems (Microsoft Office, EMR, etc.) to track due dates for routine paperwork.
· Schedule initial intake appointments and prescriber appointments efficiently.
· Conduct reminder calls for all follow-up appointments to ensure client attendance.
· Complete preliminary intake paperwork with clients prior to clinical intake appointments.
· Verify Medicaid eligibility for enrolled clients.
· Coordinate external and internal referrals to ensure seamless client care.
· Run data reports in EMR on a weekly basis to support clinical operations.
· Collaborate with the Clinical Billing Coordinator to ensure all paperwork requirements are met for CIMOR enrollment.
· Complete annual training requirements as outlined by agency requirements and supervisor.
· Perform other related tasks as assigned by the supervisor.

Education, Experience, and/or Credential Qualifications:
· Bachelor’s degree preferred or experience in medical office coordination.
· Exceptional interpersonal skills are needed.
· Proficiency in Microsoft Office (Word, Excel) is required.
· Experience with Electronic Medical Records is a plus.
· Ability to multi-task, prioritize tasks, and attend to details is essential.
· Candidates with experience in social service and/or mental health settings are preferred.

Additional Qualifications:
· Successful completion of background check including criminal record, driving record, abuse/neglect, and fingerprint check.
· Current driver’s license, acceptable driving record, and current auto insurance are required.

Physical Requirements:
· ADA Consideration - Sedentary work: Exerting up to 10 pounds of force occasionally (exists up to 1/3 of the time) and/or a negligible amount of force frequently (exists 1/3 to 2/3 of the time) to lift, carry, push, or pull, or otherwise move objects, including the human body.
· Repetitive movements of hands, fingers, and arms for typing and/or writing during work shift.
· Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
