Job Summary
This role will provide clerical and patient services support for the Pediatric Cardiology / Congenital Heart Center outreach outpatient clinics program. This outreach program includes 11 external outpatient clinic sites and 3 Michigan Medicine Ambulatory Care Unit clinics.
This role will interact with a broad range of internal and external stakeholders to Michigan Medicine, including faculty, nurses, referring providers and offices, patients, families, and other administrative and clinical staff.
Responsibilities*Service as a primary resource for internal and external providers, call center staff, staff members, and patients regarding prior auths, insurance, clinic scheduling, and other support and communications.Telephone responsibilitiesAssist with handling incoming calls, including urgent requests or responses to our Outreach partners, in a timely manner.InvoicingManage invoicing for testing conducted at outreach locations, tailoring processes to meet the unique requirements of each partner site agreement.Handle the registration and imaging of testing (e.g., Echo/EKG) from external facilities to ensure timely billing and reconciliation.Data Compilation and ReportingCollect and analyze data, generating reports for operational improvements and decision-making. Outreach Fetal Support:Assist Fetal RNs with complex scheduling placementSchedule NP fetal appointments from Referring PhysiciansSchedule follow-up fetal appointments at the Brighton location.Collaboration and Relationship Management:Foster strong, collaborative relationships with outreach sites, healthcare providers, and other Ambulatory Care Units (ACUs). EPIC Template Editor / CSU (Credentialed Super User) Responsibilities:If not a CSU, work to become a CSU to maintain and update provider templates, ensuring alignment with MM requirements. Workflow Processes:Work with Outreach Manager to create and maintain display of Outreach workflows and contacts for the Overall Outreach Program.Clinic Preparation (e.g., Brighton Center for Specialty Care):Able to assist with organizing and preparing materials and schedules for upcoming clinics.Collaborate with healthcare providers to determine testing needs (e.g., non-invasive imaging, echocardiograms) and ensure timely scheduling.Secure prior authorizations promptly to prevent delays in patient careCover Urgent Calls in the absence of the Outreach ManagerOther duties as assigned.Required Qualifications*2-3 years in a Patient Services Assistant or Associate roleKnowledge of EPIC (EMR) system.Knowledge of Medical TerminologyTransportation: Ability to travel to Outreach Locations, i.e., Northville, Lansing, and Brighton, as needed. Background ScreeningMichigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.
