Patient Services Representative

The Patient Services Representative supports clinic operations, providing timely and quality customer service over the phone and in-person. This includes greeting, registering, and scheduling patients in an accurate and timely manner. This position creates patient records, provides documentation as appropriate to patients, and collects and applies patient payments.

Registration

Accurately scrub patient registration using the pre-reg scrub checklist to ensure that all patient needs are fixed or noted. Check in/out includes, but not limited to: Obtain and verify current demographic information. Verify insurance status. Collect and scan patient information and documents. Complete patient registration in the electronic health record (EHR). Provide sliding scale application and hardship waivers as appropriate. Collect patient payments. Process the application and income calculations for submitted sliding scale applications to the approver.   Support enrollment efforts by identifying patient needs and connecting patients with enrollment support. Print end-of-day reports and balance cash drawer at the end of each day.

Access

Schedule patients in accordance with established provider schedules and clinic protocols. Record cancellations and end of day status’ in EHR, per guide. Promote and educate patients on MyChart. Follow organizational routing guide. Make confirmation calls to scheduled patients per clinic protocols.

Patient Care

Answer phone calls and questions, providing timely, accurate, and quality customer service. Route calls and/or create accurate and detailed message in EHR and route to the appropriate party if applicable. Advise patients of clinic policies regarding scheduling, payments, no-shows, service animals, etc. Advise patients to bring in necessary financial and/or insurance documentation as indicated. Fax information and make phones calls to patients and other medical offices as needed. Process mail and manage documents per clinic protocol.

Skills & Knowledge

Strong computer skills in windows environment using Microsoft Office software products.  Knowledge of standard office policies and procedures. Knowledge of customer service principles and techniques to resolve patient concerns. Knowledge of HIPAA practices. Knowledge of standard office machines including copier, fax, shredder, multi-line telephone, printers, etc.  Fluency in Spanish preferred.
