**The Department of Restorative at the School of Dentistry has an outstanding opportunity for a Patient Services Specialist 2 (NE S SEIU 925 Non Supv) (0.8 FTE) to join their team.**
The Maxillofacial Prosthetic Services is within the Department of Restorative at the School of Dentistry (UW-SOD). It is a is a unique prosthodontic specialty that focusses its efforts on rehabilitation services for individuals who suffer anatomical compromise due to congenital (birth) disorders, trauma, and oral/facial malignancies. The Maxillofacial Prosthetic Service serves a diverse population and is committed to supporting diversity, equity, and inclusion.
**JOB DESCRIPTION**
The Patient Services Specialist 2 (PSS2) reports directly to the Director of the Maxillofacial Prosthodontics Service and is responsible for the general readiness of the clinic to receive patients for evaluation and treatment. Under the supervision of the Director, of the UW Maxillofacial Prosthetics Services, performs clerical and technical duties to facilitate excellent customer service and delivery of patient care. The PSS2 will perform the work of registration by obtaining and verifying demographic and financial information through pre-registration process, complete patient registration by obtaining consent for dental care and financial agreement, process patient paperwork, including, but not limited to, financial letters and pre-authorizations, and coordinating care with other provide support services such as: scheduling patient appointments, obtaining and verifying demographic and financial information through pre-registration process, completing patient registration by obtaining consent for dental care and financial agreement, processing patient paperwork and coordinating care with other clinics, and triaging patient telephone calls to clinical staff/providers and providing information about services.
This position will have significant direct contact with faculty, residents, and patients above and beyond other clinic desks. This clinic operates with a more private practice centric model.
**DUTIES AND RESPONSIBILITIES** BASIC FUNCTION
Independently provide support services, e.g., process incoming referrals, schedule patient appointments, obtain and verify demographic and financial, and insurance information through pre-registration process, complete patient registration by obtaining consent for medical care and financial agreement and letters, process patient paperwork, insurance pre-authorizations, coordinate care with other services, triage patient telephone calls to clinical staff, and provide information about services.
RESPONSIBILITIES
• Act as liaison and advocate among the hospital, patient family, referring physicians, outside agencies, and staff from other hospitals by providing information and advice regarding patient evaluation and treatment services provided.
• Make the initial contact and provide information to the patient or the referring physician on the referral process and directions to the Maxillofacial Prosthetics clinic.
• Ensure patients are registered; verify, collect and update demographic, financial and insurance information by appropriate means; determine eligibility for care; assign appropriate payor plans; verify eligibility and benefits for third party payors for planned and/or emergency services; verify insurance coverage; create and send Financial letters, obtain pre-authorizations; complete Medicare as a Secondary Payor form; document comments for financial file; obtain necessary signatures for consents; collect co-payment or other patient liabilities.
• Use effective oral and written communication with a variety of healthcare professionals, patients and their advocates, hospital and clinic personnel both at UWMC and other medical facilities, representatives of insurance companies, and other organizations related to the healthcare industry
• Maintain knowledge of billing and medical/dental record documentation requirements, diagnostic tests and procedures, and specialized procedure instructions with guidelines
• Contact review organizations and insurance companies to ensure prior approval requirements are met before patients enter the system such as pre-authorization and referrals; present necessary medical information prior to admissions; provide specific medical information to Patient Revenue Cycle Office to maximize reimbursement to the school and dentists.
• Act as a liaison between patients, consulting physician, referring physician, or outside agency to coordinate patient appointments.
• Provide treatment charges for visit types, procedures, and surgeries to patients or prospective patients to the clinic. Accomplish Financial Letter to be given to the patient for costs of the overall treatment plan. Provide estimated charges based on plan of care for purpose of patient deposits when patient is determined to be self-pay.
Coordination
• Coordinate patient’s surgical maxillofacial prosthodontic procedures with UW Otolaryngology, Oral and Maxillofacial Surgery, Radiation Oncology, Hyperbaric Chamber Clinic at Virginia Mason, Radiology/Conebeam Scans, Panorex X-rays, Children’s Hospital, Swedish, Virginia Mason, Oral & Maxillofacial Surgery at Harborview Medical Center, Madigan Army Hospital, Oral Maxillofacial Surgery as well as for several doctors and speech pathologists at UW or in private practice, and the Seattle Cancer Care Alliance. Ensure delivery of medically prescribed surgical obturators and stents.
• Coordinate evaluations, impressions and delivery of surgical prosthesis and stents.
• Obtain all necessary medical records, and dental records, diagnostic studies, pathology items, etc., that are needed for patient care.
• Request necessary equipment, tools, supplies, devices, and implants (the Director will supply necessary info for custom implants).
• Ensure the Director, Maxillofacial Prosthetics is scheduled to attend surgeries in OR as indicated or requested.
• Schedule post-surgery diagnostic procedures and follow-up patient appointments.
• Assist in addressing patients’ complaints/concerns. Act as resource and coordinating consultant to physicians and residents on medical/surgical services such as treatment plans, delivery of prosthesis needed for patient’s surgery post-operative and follow-up, etc.
• Acts as a liaison between patients and other School of Dentistry clinics to coordinate patient care, referrals, and appointments
• Assist patients in completing various documents such as insurance forms and other patient paperwork.
• Facilitate patient check-in and check-out including all necessary patient paperwork which may include charge documents.
• Coordinate obtaining interpreters for patients.
• Process and reconcile charge documents, ensuring accuracy; investigate and correct rejected charges.
• Arrange for patient transportation to outside facilities, request patient transportation within facility and escort patients to various treatment areas.
• Perform general clerical duties such as answering and screening telephone calls, processing the mail, assembling and sending information to patients, inventorying, ordering and stocking supplies; and maintain record of ordered services.
• Document inquiries and searches for calls such as law enforcement agencies, medics, telephone and reverse directories.
• Assist in orienting and training new staff.
• Perform related duties as required.
**MINIMUM REQUIREMENTS**
High School graduation or equivalent AND one year of healthcare, administrative, or customer service experience OR equivalent education/experience.
**ADDITIONAL REQUIREMENTS**
Current Basic Life Support (BLS/CPR) certificate, or ability to obtain within 1 month
