The Payroll and Benefits Specialist is responsible for managing the payroll process, administering employee benefits programs, and overseeing short-term disability (STD) and long-term disability (LTD) cases. The role requires expertise in using ADP payroll systems and knowledge of payroll compliance, tax regulations, and benefits administration. This position ensures employees are paid accurately and on time while maintaining confidentiality and compliance with relevant laws and company policies.
Responsibilities:Payroll Administration:Process bi-weekly payroll using ADP systems, ensuring accuracy and compliance with all relevant regulations.Reconcile payroll reports and resolve discrepancies promptly.Prepare and submit payroll tax filings and year-end reporting, including T4s.Respond to employee inquiries related to payroll, deductions, and tax withholdings.Benefits Administration:Enroll employees in benefits programs, including health, dental, vision, retirement plans, and other perks.Maintain accurate benefits records and ensure compliance with plan rules and regulatory requirements.Collaborate with vendors and insurers to resolve employee benefits issues.Conduct annual open enrollment and communicate plan changes to employees.Disability Management:Manage STD and LTD claims, ensuring timely and accurate submission of paperwork and communication with employees and insurance providers.Act as the primary contact for employees on leave, providing guidance on policies and timelines.Coordinate return-to-work plans in collaboration with managers and HR teams.Maintain up-to-date knowledge of disability policies and ensure compliance with federal and provincial laws.Compliance and Reporting:Ensure payroll and benefits practices comply with employment standards, tax regulations, and company policies.Prepare and analyze payroll and benefits reports to support HR and finance decision-making.Stay informed on legislative changes affecting payroll, benefits, and disability management.Process Improvement:Identify and implement process improvements to enhance the efficiency and accuracy of payroll and benefits administration.Provide training to employees and managers on payroll and benefits-related topics.
Qualifications:Bachelor's degree or College Diploma in Human Resources, Business Administration, Accounting, or a related field.Certification in payroll or benefits (e.g., PCP, CPM, CPP) is an asset.Minimum 5 years of experience in payroll and benefits administration, including disability management.Proficiency in ADP payroll systems (Workforce Now) and Microsoft Office Suite.Solid understanding of payroll and benefits legislation (e.g., Canada Revenue Agency, labour laws).Strong analytical and problem-solving skills with attention to detail.Excellent communication and interpersonal skills, with the ability to handle sensitive information discreetly.
