Payroll and Benefits Specialist Location: Fort Wayne, IN Level: Mid-level Position, Salaried Division: Human Resources Reporting to position: Payroll and Benefits Supervisor Travel: 10% or less, related to M&A support/special projects
About the Role:
As a Payroll and Benefits Specialist, you will play a critical role in ensuring accurate and timely payroll processing for our team members. You will collaborate with HR, Finance, and other departments to maintain compliance with federal, state, and local payroll regulations while delivering exceptional service to employees. This role requires strong attention to detail, problem-solving skills, and the ability to work with sensitive data in a confidential and professional manner. Additionally, this role will lead payroll process improvements and ensure compliance with evolving payroll laws requiring independent judgment and discretion. The ideal candidate is highly organized, and proactive, exercises sound judgment and is capable of managing multiple priorities with a high degree of professionalism and confidentiality. Responsibilities include:
+ Processing payroll for salaried and hourly team members, ensuring accuracy and compliance with company policies and applicable laws
+ Managing payroll deductions, tax withholdings, garnishments, and direct deposit changes
+ Reviewing and reconciling payroll reports to ensure proper calculations of wages, taxes, and benefits
+ Assisting with quarterly and annual tax filings, including W-2 processing and reporting
+ Responding to payroll-related inquiries from employees, managers, and external agencies
+ Supporting the Payroll and Benefits Supervisor in audits, compliance reviews, and continuous process improvement initiatives
+ Maintaining payroll records and ensuring data integrity in HRIS and payroll systems
+ Collaborating with HR and Finance to address payroll-related matters, including benefits deductions and leave tracking
+ Accurately process benefit deductions (e.g., health insurance premiums, retirement contributions) in the payroll system.
+ Coordinate/address benefit deductions for employees who take leave or have irregular pay schedules
+ Leading payroll and benefits process improvements, identifying inefficiencies, and implementing enhancements to ensure accuracy and efficiency
+ Develop, refine, and document internal processes for payroll and benefit administration to increase efficiency and reduce errors
+ Serve as a key point of contact for employees with questions regarding benefit plans, eligibility, costs, and claims issues, including processing pension requirement benefits and working with third-party actuaries to process related requests.
+ Provide ongoing education and resources to help employees understand and maximize their benefits
+ Maintain strong relationships with third-party administrators who provide benefit administration and related services (e.g. record keeper for savings plan, actuary for pension plan, etc.)
+ Ensuring compliance with federal, state, and local payroll laws in the administration of payroll, including tracking and implementing regulatory changes
+ Overseeing team member communications related to payroll and supporting related benefit communications
+ Other responsibilities as needed
Education & Experience:
+ Associate’s or Bachelor’s degree in Accounting, Finance, Human Resources, or a related field preferred
+ 2+ years of payroll processing experience, preferably in a multi-state environment
+ Proficiency in payroll software and HRIS systems; experience with UKG (Ultimate Kronos Group), ADP Vantage, or a similar system is a plus
+ Strong understanding of payroll regulations, tax laws, and compliance requirements
+ Excellent analytical and independent judgment skills with high attention to detail and accuracy
+ Strong organizational skills and the ability to manage multiple tasks in a deadline-driven environment
