Payroll Coordinator
Job Title: Payroll Coordinator Location: York, PA Type: Full time, Direct Hire Hours: Onsite, Mon-Fri 8am-5pm Payroll Coordinator Overview This position has the dual responsibility of payroll coordination and account payable responsibilities. The position administers the entire payroll function, which includes processing biweekly, multistate payroll, deductions, and miscellaneous items. This position serves as a backup to the Accounts Payable function and other related activity and support for the Accounting group. Position performs special projects/tasks, as assigned. Payroll Coordinator Responsibilities + Responsible for the preparation and processing of biweekly payroll on the ADP payroll system for over>140 employees; this includes the entire cycle of payroll processing and Multi-state payroll and tax responsibilities + Coordination efforts between payroll, human resources, budget and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, e.g., overtime, leave balances, head count, and retirement contribution reports. + Handle the administration of the electronic timekeeping system. Setup each employee, valid programs for each employee's charges; monitor submissions of approved timesheets, ensure valid data transfers to/from payroll software. + Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis; review changes for proper authorization and adherence to company policy including compliance with federal/state/local regulations. + Manages 401K plan reconciliation and calculation for matching contributions and annual audit compliance. + Reconciles payroll deposits, tax withholdings, wage garnishments and voluntary deductions. + Prepares payroll journal entries and month end practices including running reports and reconciling sub ledger to general ledger. + Year-end W-2s. + Processing of accounts payable invoices and credits. + Audit and processing of employee expense reports. + Maintenance of vendor files for 1099 information. + Invoice entry and processing for payment within 48 hours of receiving an approved copy. + Invoice charge to correct accounts and approved by appropriate parties. + Manages processing of the sales commission program, including monthly and quarterly commission payments to Sales group. + Accounts Receivable support including research, data entry + Assist with preparation for year-end accounting work papers + Other duties as assigned Payroll Coordinator Requirements Education + Associate or Bachelor Degree in Accounting preferred, but not required. Requisite combination of skills and experience may replace degree. Experience + 5 – 7 years of experience processing payroll (3 years of payroll experience with groups of 100 employees or greater.) + Experience working with ADP payroll packages is required. (Prior experience in ADP WorkforceNow software is preferred.) + 3-5 years of Accounts Payable experience.
