What you’ll do ​& Who you are

We are looking for a skilled Payroll Specialist/ Payroll Lead to manage outsourced payroll operations, ensure compliance with German payroll regulations, and drive process improvements.

This role involves payroll audits, liaising with tax authorities, and supporting HR-related reporting. Experience in payroll system implementation and knowledge of compensation & reward strategies are valuable assets.

You will be reporting directly to the Head of People Ops & Business Partnering. This is a hybrid role that requires to attend the office based in Berlin in a weekly bases.

What you will do:

Outsourced Payroll Management:

Coordinate with external payroll service providers to ensure accurate and timely payroll processing.Review and verify payroll data submitted by the service provider, ensuring compliance with company policies and legal requirements.Address any discrepancies or issues with the outsourced payroll provider and work towards swift resolutions. Communicate to employees on payroll matters and managing potential issues.

Payroll Audits:

Conduct regular audits of payroll reports and processes to ensure accuracy and compliance with German payroll regulations.Prepare and provide necessary documentation and reports for internal and external audits.Implement corrective actions based on audit findings and recommendations.

Authority Liaison:

Act as the primary contact for German tax authorities and social security agencies regarding payroll-related matters.Handle inquiries, submissions, and compliance-related communication with authorities.Ensure that all payroll-related legal and regulatory requirements are met, including tax filings and social security contributions.

Compliance and Reporting:

Stay updated on changes to payroll laws and regulations in Germany and ensure that the company’s payroll practices are compliant.Prepare and submit necessary reports to regulatory bodies as required.Ensure accurate calculation and timely submission of all statutory deductions and contributions.Support HR-related reporting, e.g workforce cost analysis, headcount reports, and compensation and absence-related insights.

Process Improvement:

Identify and recommend improvements to payroll processes and systems to enhance efficiency and accuracy.Work closely with HR and Finance teams to streamline payroll-related processes and resolve any issues that arise.

Payroll System Implementation/Switch:

Evalute the option of a System SwitchLead the implementation of the new payroll system, including planning, testing, and execution.Coordinate with IT, external vendors, and internal stakeholders to ensure a smooth transition.Develop and manage a project plan for the system switch, including timelines, milestones, and deliverables.Train relevant staff on the new payroll system and ensure effective use of the system post-implementation.Troubleshoot any issues that arise during and after the transition, ensuring minimal disruption to payroll operations.

Compensation & Reward Skills (Asset):

Knowledge of compensation structures and reward strategies is a plus.Ability to analyze payroll data for compensation benchmarking and salary reviews.Support HR in designing fair and competitive compensation packages.

Who you are:

Several years of experience in payroll management, preferably in an outsourced payroll environment.Strong knowledge of German payroll laws, tax regulations, and social security requirements.Experience with payroll audits, compliance reporting, and liaising with tax authorities.Familiarity with payroll systems and experience in system implementation or migration is a plus.Knowledge of compensation structures and reward strategies is an asset.Strong analytical skills and attention to detail.Excellent communication skills, with the ability to liaise effectively with external payroll providers, regulatory bodies, and internal teams.Proficiency in payroll software and Microsoft Office Suite as well as Google Suite.Fluent in German and English, both written and spoken (At least C1).
