Job Description: We are seeking an experienced Payroll Manager proficient in UKG Software to oversee biweekly multi-state payroll processing for over 2500 employees. The ideal candidate will have experience in running payroll for sales, hourly, salary, and shift differentials, as well as auditing payroll and managing service escalations. This role also involves managing the 401k process.
Responsibilities:
+ Oversee day-to-day US payroll and HR operations functions.
+ Audit and approve bi-weekly payrolls; act as escalation point for all payroll matters.
+ Collaborate with HR teams at various US locations.
+ Manage the US payroll system’s company and employee level data in partnership with HRIS, including mass data auditing.
+ Prepare Worker’s Compensation semi-annual reporting, CA Pay Data, and multi-worksite reporting.
+ Ensure timely preparation and distribution of reports following corporate standards.
+ Manage the Employee Resource Center and serve as an escalation point for payroll, time, and attendance matters.
+ Implement process improvements and functional enhancements to ensure regulatory compliance and positive employee experience.
+ Maintain relationships with payroll vendors and 401k plan providers.
+ Partner with the Benefits team on payroll/operations matters and liaise with benefit vendors for issue resolution.
+ Serve as the main point of contact for internal and external payroll audits, and work closely with the accounting team.
+ Research and resolve payroll tax matters in partnership with the payroll vendor and review payroll tax returns.
+ Apply to new tax jurisdictions when necessary.
+ Collaborate with the Total Rewards Team for annual increases, bonuses, and international employee transfers.
+ Oversee year-end and year-begin payroll processes.
+ Coordinate data collection and respond to ad hoc requests from various internal teams.
+ Execute all required compliance reporting such as W-2, 1095-C, EEO-1, AAP, VETS, etc.
Essential Skills:
+ Proven experience in payroll processing, specifically with UKG software.
+ Experience with biweekly multi-state payroll processing for 2500+ employees.
+ Expertise in running payroll for sales, hourly, salary, and shift differentials.
+ Strong experience in auditing payroll and managing service escalations.
+ Experience in managing 401k processes.
+ Technical and functional knowledge of UKG payroll processes, banking, garnishments, time management, and HRIS systems.
+ In-depth knowledge of accounting principles, payroll tax laws, compliance, and payroll audit/control procedures.
+ Understanding of health and welfare and 401(k) plan design and administration.
+ 7+ years in multi-state payroll management.
+ Experience with UKG as a service provider.
+ Proficiency with UKG’s Business Rules, templates, and Web Import Tool.
+ Intermediate Excel skills, including v-lookup and pivot tables.
+ Solid analytical and problem-solving skills.
+ Experience in project management and supervision.
Additional Skills & Qualifications:
+ Bachelor’s degree in human resources, finance, or a related field (preferred).
+ Experience with ADP Vantage, Kronos, and SAP Success Factors is a plus.
+ Experience with a shared services model for payroll, benefits, and HR operations.
+ Administrator-level experience with payroll software, time and attendance systems, and HRIS systems.
+ Intermediate report building skills for UKG’s Business Intelligence.
+ Detail-oriented and organized, capable of handling multiple tasks.
+ Professionalism and strong customer service skills, with the ability to establish and maintain collaborative working relationships.
Work Environment: The role involves working with various technologies and systems, including payroll software, time and attendance systems, and HRIS systems.
Pay and Benefits
The pay range for this position is $57.69 - $62.50/hr.
