Payroll Specialist

Job Responsibilities 

 

You will be responsible in the end to end processing of payroll ensuring accurate and timely dispensation for all associates, including other associate payments e.g. special payouts, final pay processing, tax annualization, government deductions, appropriate payments for holidays, taxes, overtime payments, company and government provided benefits and allowances and other allowable deductions in accordance with local labor payroll requirements. This will also include reviewing and validating timesheets as needed, together with respective people managers or departments and balancing payroll entries prior uploading and getting approval for release. You  will also ascertain proper tax set-up for associates based on their status and other corresponding law requirements especially on new labor statutes and compliance matters. Overall responsible in the computation and processing of payroll for all associates ensuring timely and accurate payment of salaries and wages. Oversee and supervise of all required payroll reports to Human Resources, Finance and other relevant departments. Manage the schedules for payroll runs and monitor compliance of all associates under GBS payroll, working closely with people managers to ensure all required payroll entries and related information are submitted based on communicated and agreed timeline. Validate payroll run results for completeness and accuracy, including all payments and respective deductions. Work with different other functions which may include Talent Acquisition, HR Business Partners, Finance, Operations and other parties for any changes in associate profile which will have impact on the pay. May provide appropriate processes for smooth changes. Reconcile any discrepancies and other possible erroneous entries to ensure correct associate costs are reflected and posted. Ensure corrective actions are acted and monitored. (vi) Administer final pay payments and other corresponding entries appropriate to all separated associates and facilitate coordination with them until quitclaim, waiver and release have been agreed and facilitated. Monitor, record, manage and maintain exceptions, with appropriate approval and evaluate reasons for proper resolution in accordance with the documented processes and regulations. Coordinate with respective government agencies and institutions for ensuring proper remittance and update policies and processes corresponding to new guidelines and procedures set forth by the government body. Monitor, manage, maintain and respond accordingly to associate concerns, issues and inquiries regarding payroll and ensure these are properly addressed and resolved based on appropriate communication channels with tact and tenacity but ensuring acceptable diplomacy. You will provide accurate financial information and analytics and may compile payroll data and statistics calculation and perform simple to complex analysis based on reportorial requests from Operations Delivery, Finance and/or Human Resources and other respective departments Validate payroll processing file and ensuring that errors or adjustments required are coordinated, resolved and communicated to Finance, Human Resources and other respective departments Ensure timely submission of the file and other reports required, upload these information, when needed, required and necessary to suggested systems Ensure all payments and deductions are properly accounted for and mapped accurately for proper charging of accounts Review, monitor, reconcile payroll accounts and facilitate accounting procedure required by the Payroll and Finance system. You are responsible in implementing controls and maintaining appropriate rules to facilitate full compliance and facilitate changes on processes, if required. You will also manage associate inquiries and questions regarding payroll payments in a timely manner, generate reports on recurring issues and matters and will proactively look at possible changes for continuous improvement. Monitor compliance and ensure proper controls are in place in the facilitation and administration of attendance, timekeeping and payroll processing Monitor and manage all applicable rules, regulations and instructions are adhered with proper approvals are facilitated based on regular processing and exceptions  Works with Internal Controls, Internal Audit in determining the effectiveness, efficiency and reasonableness of the controls placed and recommend appropriate processes with affecting compliance requirements Support Sarbanes- Oxley (SOX) and Internal Audit audit requirements of GBS Safekeep records and appropriate instructions for easy access and retrieval of information.

 

Job Requirements 

 

You have a Bachelor’s/College Degree in any Business-Related Course You have 2 years experience of working and facilitating payroll and compensation process on a fast- paced environment. You have experience in SAP or any other payroll, attendance and timekeeping system. You have experience in identifying and implementing process and/or technology changes to improve efficiency, quality and effectiveness You  are excellent with computer applications with Advanced working knowledge on Microsoft Office platforms primarily on Excel You have good organization and prioritization skills, ability to manage workload and respect deadlines You demonstrate ability to make informed decisions, managing conflicting priorities, in a fast- paced environment, and being open to change. You have accurate numeracy skills, attention to detail and accuracy  You are able to work as part of a team  You are an excellent English communicator both written and oral and has a passion to interact with different individuals, building and maintaining relationships. You possess high ethical standards and honesty as the is responsible for ensuring a company adheres to required regulations.
