Job Summary:

\n

The Payroll Specialist II plays a pivotal role in the Accounting Department, overseeing key administrative and payroll functions. This includes the meticulous approval and preparation of time records for processing, active participation in daily data entry for payroll processing, and collaborative support for team members, supervisors, managers, and department personnel. The Payroll Specialist II also contributes to various accounting functions, enhancing the overall efficiency of the facility’s Accounting Department.

Essential Functions, Duties & Responsibilities:

\n\nMaintains accurate and organized payroll records, including time records, employee information, direct deposits, tax forms, additions/deductions, and other relevant documents in the payroll system.\nAccurately compiles data for payroll processing for employees in compliance with applicable laws and Company policies.\nValidates timekeeping records for accuracy and resolves discrepancies.\nHandles the reconciliation and initiation of miscellaneous payroll deductions, ensuring timely payments to external vendors.\nReviews and verifies new hires, rehires, terminations, and other payroll-related changes into the system.\nGenerates and distributes regular payroll reports and ad-hoc analyses as required.\nSupports with audits by providing necessary documentation and information.\nProvides excellent customer service by promptly addressing employee inquiries and concerns related to payroll.\nCollaborates and supports plant Human Resources, and other departments to resolve issues effectively.\nCross trains with team members on various tasks within the Finance Department.\nAssist Plan Accounting Manager with yearly budget process.\nExecutes weekly overtime penalty journal entry.\nAssists with the Payroll annual audit for the designated plant location.\nPerforms other duties as assigned.

Knowledge, Skills & Abilities:

\n\nSuperior written and verbal communication, and interpersonal skills.\nDetailed oriented with a high level of accuracy and precision.\nExcellent critical thinking, analytical, and problem-solving abilities.\nStrong organizational and time management skills with the ability to effectively manage multiple priorities.\nAbility to handle sensitive and confidential information with discretion.\nIn-depth knowledge of payroll procedures, regulations, and compliance standards.\nProven experience utilizing time record systems, such as UKG Kronos Dimensions or similar is preferred.\nProficient in Microsoft Suites (Word, Excel, PowerPoint, Outlook, etc.) and payroll processing systems (ADP, SAP, Paychex, Workday, or similar). \n\n

Education & Experience:  

\n\nHigh School Diploma or equivalent required.\nAssociate’s degree in accounting, Finance, Business Administration, or related field preferred.\nMinimum of 3 years of experience in a role with the focus area of accounting or bookkeeping; with at least 6 months of experience in payroll is desired.
 \n\n

Work Conditions & Physical Requirements:

\n\nOffice work environment, with the possibility of being exposed to varying conditions in the Plant setting, such as cold areas, warm areas, chemicals, and other site conditions.\nProlonged periods sitting at a desk and working on a computer. \nKeying/typing, hearing, field of vision, and talking/speaking. \nThe noise level of the environment is usually moderate.\nOccasional lifting up to or about 25 pounds.\nMay require standing less than or equal to 1/3 of the day.\nWillingness and ability to travel up to 10% of the time. \n\n
