Posting Number NONAC3509 Job Title Payroll Specialist - Mid-Level Position Title Payroll Specialist - Mid-Level Position Type Non-Faculty Number of vacancies 1 Salary Department Office of Finance and Operations Position Summary The Mid-Level Payroll Specialist is responsible for the accurate and timely processing of payroll for employees, ensuring compliance with federal, state, and local tax regulations. The role includes administering payroll-related functions such as payroll processing, benefit deductions, tax filings, and responding to payroll inquiries. This position requires a solid understanding of payroll systems and attention to detail to ensure that all payroll-related tasks are completed in a timely and accurate manner. Skills: + Proficient in Microsoft Excel and other spreadsheet applications. + Strong knowledge of payroll tax laws, benefits, and compliance requirements. + Excellent attention to detail and accuracy. + Ability to handle sensitive and confidential information. + Strong organizational and time management skills to meet payroll deadlines. + Ability to effectively communicate with employees and management. Key Responsibilities: Payroll Processing: + Process Salary and Hourly bi-weekly and/or off-cycle special payroll for employees, ensuring accuracy in wages, deductions, benefits, and other relevant factors. + Review and input employee timesheets, ensuring all hours are correctly recorded and in compliance with company policies. + Calculate and verify overtime, bonuses, and other non-standard payments. + Ensure proper deductions for taxes, retirement contributions, benefits, and other withholdings. Compliance and Reporting: + Ensure payroll processes adhere to federal, state, and local tax laws and school policies. + Prepare and submit payroll tax filings, including federal, state, and local tax forms, and ensure payments are made on time. + Generate payroll reports for internal departments (HR, Finance, etc.) and external agencies as needed. + Maintain accurate and up-to-date records for audits, reporting, and compliance purposes. Payroll Inquiries: + Address and resolve employee payroll-related questions or issues, such as discrepancies in pay, deductions, or benefits. + Guide employees on matters such as pay structure, taxes, and deductions. Year-End and Tax Reporting: + Assist with the preparation of year-end payroll reports, including W-2s, 1099s, and other Federal and State required forms. + Collaborate with finance and accounting departments for reconciliation of payroll cost allocations and end-of-year reporting. Continuous Improvement: + Identify opportunities to improve payroll processing efficiency, accuracy, and compliance. + Stay updated on changes to payroll tax laws and regulations and recommend process changes, as necessary. Minimum Qualifications + Associate’s degree in Accounting, Business Administration, Human Resources, or a related field (Bachelor’s degree preferred). + Payroll certification (e.g., CPP – Certified Payroll Professional) is a plus. + 3-5 years of payroll processing experience, with a strong understanding of payroll systems, tax regulations, and compliance. + Experience with payroll software (Workday, ADP , Paychex, Ceridian, or similar systems).
