Payroll Vendor Relationship Manager

SUMMARY:
Lendmark has outsourced its managed payroll services to OneSource Virtual (OSV), who in addition to managing the delivery of payroll to our employee base, is also responsible for payroll tax processing and filing, garnishment processing and employment verification.  The Payroll Vendor Relationship Manager is responsible for coordination and oversight of this vendor and its services and so requires a high degree of knowledge over end-to-end payroll processes.  The manager will also have heavy interaction with various internal departments, primarily Human Resources. This role reports to the Chief Accounting Officer and Controller.

MAJOR DUTIES/RESPONSIBILITIES:

Oversee payroll provider’s disbursement of multi-state payroll, including garnishments, benefits, and taxes to 2,400+ employees consistent with federal and state wage and hour laws

Working with HRIS, assist with and implement process improvements and upgrades in Workday, including but not limited to custom reporting, integrations, and testing  

Critically review and analyze payroll, benefits, and tax procedures to recommend and implement changes leading to best practice operations

Reconcile, review, & approve payroll prior to transmission and validate confirmed reports

Oversee OSV processing of accurate tax filings and timely year-end reporting requirements, including but not limited to W-2 processing.

Manage tier 3 employee payroll questions sent to central email inbox used for the payroll department to ensure timely and adequate responses. Tier 1 and 2 questions will be managed by OSV

Advise on internal control processes with OSV and other internal processes, including vendor oversight and compliance with Lendmark’s vendor management policies and procedures

Ensure payroll compliance with CA, CO, and AZ payroll laws (and other new states as applicable) by facilitation of timely and correct manual check payments, ACH, or debit card funding

Ensure appropriate rates and frequencies are used by payroll provider for federal, state, and local taxes

Provide payroll managed services-related data for budgeting and forecasting as requested for internal and external projections.  Responsible for variance analysis of actuals to budget or forecast

Work with OSV to ensure compliance with federal, state, and local legal requirements by studying existing and new state regulations; enforce adherence and advising management on needed actions

Assist the accounting department and payroll provider in the completion of data needed for state returns and census reports relative to payroll

Provide Ad Hoc reports as requested by management and other departments

Facilitate employee benefit and liability wires/ach transfers each payroll through Treasury Department

Validate payroll funding files for all 401K funding and maintain audit documentation

Assist in providing requested documentation and schedules requested for year-end external auditors relative to the financial statement audit, 401K audit, and worker’s compensation audit

Prepare and maintain documentation related to tax credits available to the organization

Maintain general ledger mapping format inside of Workday HCM and provide details as needed to the accounting department upon monthly reconciliation of those entries

BASIC QUALIFICATIONS

7+ years of experience processing multi-state payroll, 3+ years’ Workday experience

Working knowledge of end-to-end payroll best practices, including federal and state regulations

Bachelor’s degree or comparable education or training, preferably in finance function of a financial services company

Excellent relationship building skills both with internal and external customers

Proficiency in Microsoft office products with an emphasis in spreadsheets, databases, and word processing (including the use of VLOOKUP, SUMIF functions, and other excel functions); should be an advanced excel user

Ability to deal sensitively with confidential material

Strong interpersonal (verbal and written) communication skills; ability to communicate effectively with various levels of management

Excellent decision-making, problem-solving, and analytical skills

High organizational and prioritizing skills

Strong work ethic and team player

Ability to work well under tight time frames while multi-tasking and to consistently execute accurate payroll processing

PREFERRED/DESIRED QUALIFICATIONS:

CPP certification

Prior Payroll System conversion experience

COMPENSATION:

The salary range for this position is $112,590 - $137,610 annually, based on the specific Knowledge, Skills, Abilities and/or Experience of the selected candidate.

This position is eligible for Semi Annual Incentive compensation based on individual and company performance guidelines.
