We also have Publicis Sapient driving digital business transformation for our clients. **Overview** **PEOPLE & CULTURE ADMINISTRATOR** Publicis Groupe is seeking an entry-level, part-time People & Culture Administrator looking for an opportunity to kickstart their professional HR career in the media and advertising industry. This is an entry-level role perfect for someone who's looking to get exposure to all elements of HR as part of a growing and faced-paced team! **ROLE PURPOSE:** The People and Culture Team is a thriving, award winning and passionate team. This role forms part of the P&C Central team and focuses on delivering streamlined, optimal operational processes across Publicis Groupe. It involves working closely with the P&C central, alongside our agency P&C teams and Centres of Excellence. It acts as the first point of contact for our employees, providing expert advice and support across the entire employee lifecycle. It also provides support to the agency P&C team on generalist tasks. It reports into the P&C Central Manager and demands attention to the details and a high orientation around process, documentation & organisation. It supports how we optimise and streamline our people processes, whilst gaining exposure to our broader P&C strategy through involvement in ANZ Groupe related people platforms and programs. **KEY DUTIES:** **Employment Relations** • Working as part of the P&C Central, respond to employee queries e.g. pay, policy, leave, system access etc. • Escalate any complex queries to P&C Central Team Leader and/or P&C Advisor as relevant **People Processes** • Follow relevant P&C processes to ensure a streamlined approach across all agencies • Craft documents and save to employee files for people processes such as Parental leave, Probation period, Salary increases, Promotions etc. providing to agency P&C teams as required **On-boarding and Off-boarding** • Own administrative process for new starters including contract generation, employee files, input into relevant systems and platforms and working with Experience and IT teams • Own administrative process for internal transfers across the Groupe locally and globally • Own administrative process for leavers including obtain resignation letter, advising payroll and ensuring reconciliation between leave and timesheets **Systems, Reporting and General Admin** • Assists with the reporting such as; WGEA, CSR, internal audits, industry salary surveys etc. • Provides accurate and timely administration support (inc contract generation) to the P&C team • Actions relevant tasks as requested by agency P&C team (distributed by P&C Central Manager) • Ensures all necessary databases including Career Settings is updated with 48 hours of any changes **Visa and Immigration** • Escalate immigration questions from employees to P&C Central Manager • Support on ad-hoc immigration requests as directed by the P&C Central Manager P&C team • Contributes to the culture of the People and Culture team • Provides support on assigned Publicis Groupe projects • Delivers on all necessary deadlines • Is proactive on the projects, providing ideas and suggestions **SKILLS & EXPERIENCE:** • 1-2 years experience in a HR Administrator, office Admin or Data Entry role (ideally multi-site) • A keen interest in working and growing your career in People & Culture • Well-developed computer skills across Microsoft Office suite • Experience working with a HRIS or other software where you need to ensure accurate input of data • Strong written and verbal communication skills with the ability to handle highly confidential information and treat employee data with discretion • Experience following clear process flows and adopting a streamlined approach to tasks • Verbal and written communication: You’ll need to interact with a variety of stakeholders across the business therefore the ability to clearly express yourself is essential. • Learning agility: There is a lot of variety in the work that you’ll need to do. You’ll need to be willing and able to learn quickly to adapt to changes. • Attention to detail: The cost of mistakes in the work you are doing is high, so you’ll need to have attention to detail and thoroughness in completing tasks. • Time management: Lots of the work you do impacts on others, so we need to turn requests around fast.
