People Experience PA & Team Coordinator

We’re looking for a highly organised and proactive PA and team coordinator to support our UK People Experience (HR) team. You will be responsible for diary management, expense and project support for our VP, People Experience, and PA support for the Director of Artist and Employee Wellbeing. Alongside this you will support on a variety of admin and operations functions for the People Experience team.  

This role is based in our Kings Cross office and is an on site role. 

What you'll do:

Diary and Admin Support to VP and Director

To provide the first point of contact often requiring liaison with other internal senior executives (including international colleagues) and external contacts ensuring queries are dealt with professionally and efficiently at all times on behalf of the VP Arranging meetings and managing x2 demanding diary schedules, ensuring that appropriate meetings are given priority in the VP and Director's diaries, and all appropriate prep has been done e.g meeting rooms, agendas Ensure the VP, PX is fully organised and prepared for any meetings, Assist in the preparation & collation of presentations and data on behalf of the VP Manage prompt processing of receipts and expenses for VP and Director Provide inbox management to the Director of Artist and Employee Wellbeing, triaging any urgent wellbeing requests from artists or employees  Own the executive contract tracker document; running reports from the HRIS and collaborating with Business Partners and Coordinators to keep live and up to date for VP Notetake at formal meetings for VP or other senior PX team members where required

PX Department Admin

Leading on the coordination of internal wellbeing event programming including training, monthly clinics and speaker events ensuring rooms and catering are scheduled, signs ups are managed and these are well advertised Raise and track all departmental Purchase Orders, including legal fees, wellbeing costs, training costs and health benefits (outside of those managed by Reward team). Manage our freelancer tracker ensuring that new workers are logged and end dates are tracked in good time and flagged, providing a monthly report and ensuring we have IR35 documentation stored Take the lead on our references process Review on a regular basis (at least monthly) content on our intranet pages (Amplified) to ensure that it is correct and represents all that we have to offer. Undertaking a co-ordinator role for the department; organise social functions & events, diarising department meetings Manage stationary orders Adhoc design projects – e.g. posters, mailer design etc Collaborate with Coordinators to set up induction sessions for new joiners – room bookings, caterings and diary support.
