Location: Hybrid. This role requires 2-5 days onsite per month.
Position Summary
The People Systems Manager is responsible for the effective management, optimization, and continuous improvement of the organization’s Human Resource Information System (HRIS) and related people systems. In addition to serving as the systems lead, this role provides day-to-day task management for two team members supporting operations and administration, ensuring accurate and timely execution of onboarding, offboarding, personnel changes, and general HR processes. This role bridges data integrity, compliance, and systems thinking with people-centered coordination and process ownership.
Key Responsibilities
Serve as the system administrator and lead implementations for our HRIS and other connected platforms (e.g., ATS, LMS, benefits platforms).Configure and maintain system workflows, user permissions, and modules. Manage system updates, integrations, and enhancements, including cross-functional coordination with IT, Payroll, and other departments.Document workflows and maintain user guides and SOPs for all system-related processes.Provide task management, daily workflow direction to Administrative Coordinator and People Operations Coordinator; provide quality oversight for the P&C function.Own maintenance of a current job description library and personnel action archive.Monitor the timely and accurate completion of onboarding/offboarding, personnel changes, I-9 and document collection, and employee records.Serve as the escalation point for complex or sensitive transactions related to employee lifecycle processes.Partner with the Sr. Director of People & Culture Operations to ensure the team’s workload aligns with organizational priorities and deadlines.Provide data to inform organizational initiatives such as talent planning, performance cycles, and compliance tracking.Collaborate with the Talent Acquisition team on the accuracy of hiring data and seamless ATS-to-HRIS transitions.Support internal audits and reporting to ensure accuracy, consistent policy application, and to support grant-related compliance needs.Maintain high standards of data privacy, user access controls, and compliance with federal, state, and city employment laws.Support continuous improvement initiatives across the People & Culture team by identifying process gaps and proposing system-based solutions.
Qualifications
4–6 years of HRIS systems experience in an administrator or analyst capacity.Prior experience with project management and cross functional collaborations.Strong attention to detail and data hygiene in high volume environments. Advanced Excel/Google Sheets skills and exposure to integrating AI into workflows. Ability to document, improve, and train others in P&C processes and systems.Demonstrated implementation and administrative experience with systems such as ADP, UKG, or learning management systems.Experience maintaining system integrations across multiple disciplines. Understanding of core HR functional areas, e.g., onboarding, compliance, and benefits.Knowledge of NYC and NYS employment and data security regulations.Experience in nonprofit or mission-driven preferred9am-5pm; M-F
