**_Monday - Friday, 7:30 AM - 4 PM + some holiday coverage_**
Summary:
+ The Perioperative Inventory Control Coordinator supports the Surgical Services Department at the Chester County Hospital/Penn Medicine. This position works with clinical staff and external vendors to ensure that all supply chain operations address and improve clinical outcomes, patient safety, quality, efficiency, and cost.
Responsibilities:
+ Communications vital information to prevent further delays in receiving shipment of supplies and equipment.
+ Receiving products into inventory, unload and inspect products for damage, verify receipt of items in Lawson.
+ Research/resolve inventory discrepancies to maintain consistent flow of surgical supplies and equipment.
+ Utilizing Lawson to update inventory changes (incoming and outgoing).
+ Leads inventory counts independentlyContributes to team effort by working with cross-functional teams including Operations, Purchasing, and Quality.
+ Verifies that appropriate items are received by checking against packing slip and purchase order.
+ Notifies inventory team of shortages and overages; communicates with Buyers issues with discrepant shipments.
+ Manages and maintains cleanliness / organization of PeriOp Supply spaces/rooms.
+ Accountable for ensuring all orders are received and meets Penn Medicine audit/regulatory controls and business guidelines; seeks to optimize customer satisfaction by acting as the single point of contact (SPOC)Push inventory carts carrying up to or exceeding 50-pounds of items, and objectsOperate a pallet jack in building on daily basis
+ Actively contribute to ongoing continuous improvement efforts and projects.
+ Works independently to manage periop supply, no direct supervision
+ Utilizes hospital computer systems to properly account for issues, returns and receipts of new materials and associated backorders
+ Manage critical tissue inventory - communicate with vendors, physicians and nursing.
+ Loads all tissue into EPIC upon receipt, maintains-80 freezer log, annually updates FDA aprovals for all tissue items into I-Drive
+ Review EPIC Optime records for the required implant information in order to replace consigned inventory and notifying nursing/supply leadership of errors in documentation.
+ Keeps PeriOp Supply Chain Management / Nursing aware of all correspondence with vendor representatives, regarding new product, discontinued product and backordered product / Proactively checks for backorders
+ Lead and execute daily cycle counting process for inventory compliance (conducts inventory counts, orders, and restocks items on a daily basis)
+ Responsible for managing and reconciling inventory counts and oversee the communication, investigation and problem solving of any discrepancies
+ Maintains inventory levels based on current usage and par levels.
+ Reviews the department procedure schedules on a daily basis and ensures product availability.
+ Restocks shelves on a first in, first out basis and ensures product is kept neat, organized and easily accessible.
+ Serve as specific and dedicated Service Line Liaisons- works closely with the Operating Room Service Line Leaders for service updates, inventory concerns, and product backorders.
+ Works closely with the Nursing and PeriOp Supply Chain Management team to ensure adequate levels of supplies are always available on shelves.
+ Perform and assist in the routine inventory count.
+ Utilizes hospital computer systems to properly account for issues, returns and receipts of new materials and associated backorders.
+ Provides assigned direction and support relating to perioperative inventory, replenishment of supplies.
+ Communicates with Corporate Materials Management of price discrepancies with vendors, contract expirations and other vendor changes. Communicates with Corporate Accounts Payable of credit holds by vendors.
+ Monthly evaluation of inventory expiration dates to ensure there is no expired product and to circulate product nearing expiration.
+ In the event expired product is retrieved, collaborate with manufacturer representatives to obtain return authorization ,package product and arrange pick up from loading dock.
+ Performs consignment count to make sure contractual inventory numbers match consignment on hand.
+ Keeps PeriOp Supply Chain Management / Nursing aware of all correspondence with vendor representatives, regarding new product, discontinued product and backordered product.
+ Keeps manager informed of current activities, any major discrepancies with vendors and any significant changes in the market place, which might affect the department.
+ Teach and train new employees in inventory processes.
+ Executes follow-up to assure prompt delivery of materials and/or effective performance of services on a regularly scheduled basis. Reviews open purchase order files on a weekly basis for overdue shipments and back orders, and reconciles discrepancies with the vendor.
+ Review recall notices provided by the FDA or the manufacturer and sequestering affected inventory as required and communicating actions to the required parties, when necessary.
+ Physically inspecting inventory to remove expired or damaged items from inventory.
+ Notifies vendors when non-stock/specialty products are requested for cases
+ Completes all periop supply direct orders for non-storeroom items
+ Actively works with vendors/contacts to resolve backorders and find replacements for backordered non-storeroom items
+ Monitors periop supply usage for need to increase/decrease par or discontinue
+ Create Par levels and barcodes for OR, CVOR, SPD & Anesthesia non-storeroom items
+ Works with vendors to initiate consigment agreements and maintains accurate logs of all consignment inventory.
+ Issues Bill-Only POs in Lawson to vendors for specialty items ahead of case
+ Issues Repair POs in Lawson for OR/SPD equipment i.e. beds, drills, etc.
+ Issues No-Charge POs in Lawson to obtain vendor trial or non-charge items
+ Maintains and reviews daily instrument repair log
+ Other duties as assigned to support the unit, department, entity, and health system organization
+ Assists STLs with obtaining quotes for replacement/new surgical instruments
+ Places and tracks orders for new/replacement instruments
+ Maintains log of instrument budget; ensures purchases stay within monthly budget, escalates needs beyond budget to manager
+ Coordination and tracking of instrument repair/exchange
+ Orders/maintains a central inventory of WB Mason items/office supplies for Surgical Services departments
+ Cross-covers tasks for 2 colleagues in their absence: surgical charge posting, perform and track vendor case notification for in-case support (instruments/implant/trays), entering vendor implant invoices into Lawson and issuing Bill-Only POs, monitor/respond appropriately to item recalls
Credentials:
Education or Equivalent Experience:
+ HS Diploma and 2+ years' experience in healthcare supply chain.
+ Bachelor's preferred
