JOB DESCRIPTION
Under immediate supervision, perform administrative, logistical, and clerical functions for the Division and Service, and does other related work.
Functions and Responsibilities:
Provides general administrative and logistical support relative to Division’s activities such as but not limited to the following:
1. Facilitates complete staff work for incoming and outgoing documents;
2. Handles records management of the office/division/unit; tracks documents and office communications in the Data Tracking System and other similar means
3. Performs clerical and administrative functions with obligations such as but not limited to:
a. Maintains availability, dispenses and keeps an inventory of the Division’s supplies
b. Prepares and monitors properties and equipment, including turnover/return in the Division
c. Facilitates records management and disposal for the Division
d. Assists in the maintenance and requisition of ICT equipment of the Division
e. Monitors of division balances/payments and provides support to the technical focals for the processing
4. Serve as focal for the following:
a. 7s and housekeeping functions in relation to the ISO 9001:2015 certification
b. Safety and Evacuation Officer
c. General Services e-Ticketing System (GSET)
d. Disposal Management
5. Facilitates request for venue, food and transportation, including preparation of supplies/ materials, handouts, attendance sheets, certificates, etc. as needed for the activities.
6. Drafts simple routine documents such as transmittal letters, special orders, certificates, vouchers, and other documents as may be required
7. Performs other tasks as may be assigned or required by the supervisor.

7.Valid NBI/Police Clearance or proof of payment i.e. official receipt of the NBI/Police clearance;
8.Authenticated copy of Civil Service Eligibility and/or Valid PRC ID/Integrated Bar of the Philippines (IBP) ID/proof of payment or schedule of appointment for the PRC/IBP renewal license; and
9.Performance Rating in the last rating period or its equivalent, if applicable.
Note: For internal (including COS workers) and external applicants from public sectors, latest and duly approved Individual Performance Contract Rating (IPCR) is required.
