JOB DESCRIPTION

The staff shall perform the functions of a Procurement Officer and will be under the general supervision of the PMD Chief and will do other related tasks that may be assigned.

Functions and Responsibilities:

1.      Review Purchase Requests submitted by the OBSUs;

2.      Accurately and prepare the Abstract Quotation (AOQ) and resolutions among others, by checking and reviewing each and every quotation or proposal received;

3.      Undertake the verification with any supplier, service providers, or consultant if there are details in the quotation of the latter which need to be clarified;

4.      Prepare office communications, correspondences, and reports as may be required by management and/or oversight agencies;

5.      Conduct regular research related to current developments on procurement issues at hand;

6.      Respond to issues/concerns in relation to the assigned task;

7.      Files and Photocopies of documents as requested by the Head of Office;

8.      Follow up on urgent concerns as instructed by the Director;

9.      Answers telephone calls, undertakes initial information gathering from partners and stakeholders; and

10.   Perform other related duties and responsibilities as may be assigned by the Procurement Management Division Chief or the AS-Director.

If two (2) or more vacant positions with the same title and Salary Grade are published at the same time, and there is only one (1) longlist of applicants provided by HRMDS, additional two (2) applicants for every Regular Position will be added on top (5) highest rating. However, all the additional shortlisted positions meet the 80\% cut off.
