JOB DESCRIPTION
The Administrative Aide VI shall be designated in the Human Resource Management and Development Service – Office of the Director. The position will be lodged in the Administrative Unit of the Office, he/she will be responsible in handling the various appointments of the HRMDS Director, and entertaining guests prior to the Director’s appointment if necessary. He/she will be responsible for the receiving and outgoing of documents and will log these documents in the Document Tracking System being used by the Department.
Functions and Responsibilities:
1. Serve as alternate secretary of the HRMDS Director and handle his/her calendar of activities.
2. Logs documents received by the HRMDS in the Enhanced Document Transaction Management System (EDTMS);
3. Inserts tracking slips on documents for endorsement to the HRMDS Director for further instructions;
4. Disseminate documents to the responsible Division for appropriate Action;
5. Acts as the alternate records officer of the HRMDS;
6. Routes documents to other offices for information and further actions; and
7. Performs other tasks as instructed by the HRMDS Director.
Job Outputs:
1. HRMDS Director Calendar of activities/appointments
2. Records/Documents Monitoring Sheet;
3. Tracking/Routing Slip; and
4. Others as instructed by the HRMDS Director.

10. Authenticated copy of Civil Service Eligibility and/or Valid PRC ID /proof of payment or schedule of appointment for the PRC renewal license; and
11. Individual Performance Contract Rating (IPCR) in the last rating period or its equivalent for external applicants (Performance Evaluation/Appraisal) from the previous/current employer.
