JOB DESCRIPTION
Under general supervision, performs secretarial and clerical functions for the Assistant Secretary and does related work. Organizes the day-to-day operation of the Office to ensure the provision of high quality administrative support. Manage the schedule to enhance effective time management and coordinate activities, prioritizes appointments and reschedule when necessary. Manages, prioritizes, screens, and monitors the Office’s correspondence, including emails, calls, post and fax to ensure they are dealt with appropriately.
Functions and Responsibilities:
1.Facilitates pertinent papers from the office’s to be reviewed and approved by the Assistant Secretary;
2.Routes and distributes papers from the OAS SCB to the Central Office and all incoming documents;
3.Tracks, checks, and ensures completeness and appropriateness of attachments and documents (incoming and outgoing);
4.Records and oversees all incoming and outgoing communications
5.Encodes confidential correspondence, reports and other documents
6.Maintains and updates official files of the Office and supervised Bureaus and Offices of the Assistant Secretary
7.Coordinates with other Bureaus/Officers in terms of meetings
8.Makes telephone calls; operates fax machines and transmits messages to other Bureau, FOs, LGUS, NGOs other offices
9.Conducts initial interview and screen persons seeking assistance from the Office
10.Performs administrative services for the assigned Office
11.Performs tasks and designations assigned by the Assistant Secretary.
Job Outputs:
1.Improved Data Tracking System of the Office both incoming and outgoing
2.Updated list of Office activities/meetings
3.Files confidential and regular correspondences such as reports and other documents with proper labeling for easy retrieval
4.Coordination with other Offices and/or Bureaus on scheduled meetings
