JOB DESCRIPTION
Under immediate supervision, performs administrative support and clerical functions.
Functions and Responsibilities
Administrative Support and Clerical Functions
1.Records all incoming and outgoing communication;
2.Types confidential correspondence, reports and other documents;
3.Maintains and update official files;
4.Answer and make telephone calls;
5.Interviews and screen persons seeking assistance from the Head Office; and
6.Performs other related tasks that shall be assigned from time to time.
Property Management
1.Assist in the conduct of physical inventory of supplies and properties;
2.Update property records in PREMIS;
3.Encodes and files communications related to the functions of his/her section;
4.Assists in the delivery of service of the section.
Job Outputs:
1.Letters/Memoranda/Notice of Meetings;
2.Updated Data Tracking System;
3.Organized files/records; and
4.Other reports as may be required.
Applicants should be guided by the following Criteria for Evaluation:

Initial Shortlisting:
Obtain 75% of the minimum total score of Education, Training and Experience (ETE)
Maximum Total Score of ETE only - 60%
75% of 60 = 45%
Second Shortlisting:
Top five (5) highest rating but overall rating should not be less than 80%
If two (2) or more vacant positions with the same title and salary grade are published at the same time, and there is only one (1) longlist applicants provided by HRMDS, additional two (2) applicants for every regular position will be added to the top five (5) highest rating. However, all the additional shortlisted positions should meet the 80% cut off.
Consists of ETE, IQT, Special Examination, Competency-Based Interview and Performance Rating.

10. Performance Rating in the last rating period or any of its equivalent, if applicable.
