JOB DESCRIPTION
Generally, performs clerical or administrative functions in the Office of the Bureau Director; will perform as Records Officer of the Bureau and does other related work.
Functions and Responsibilities:
1. Will act as the Record’s Officer of the Bureau;
2. Provide administrative support in the planning, formulating, and implementing a records management and archival administration program for the efficient creation, utilization, maintenance, retention, storage, preservation, conservation and disposal of public records including the adoption of security measures and vital records protection program of the Agency;
3. Receives and records all incoming and outgoing communications;
4. Encodes and assists in the preparation of confidential correspondence e.g. letters, memorandum, reports etc.;
5. Answer and makes telephone calls;
6. Prepares the Project Procurement Management Plan (PPMP) of the Bureau;
7. Maintain database and record of office supplies and equipments;
8. Prepares and encodes request forms for suppliers, equipment, and activities needed by the Bureau;
9. Prepares obligations request and disbursement vouchers;
10. Files correspondences and other related documents; and
11. Perform other functions that may be assigned by the Bureau Director and other officials and staff.
Job Outputs:
1. Records Management;
2. Recorded incoming and outgoing documents;
3. Routed incoming and outgoing documents; and
4. Updated Database as assigned.

11. Individual Performance Contract Rating (IPCR) in the last rating period or its equivalent for external applicants (Performance Evaluation/Appraisal) from the previous/current employer.
