JOB DESCRIPTION
The Administrative Officer II will performs/implements efficient records management for receiving, recording, sorting and dispatching of incoming and outgoing communication and letters; oversees filing/mailing management, data banking/maintenance and preservation of permanent and confidential records; and does other related work.
Functions and Responsibilities:
1.Develop and maintains a records management and monitoring system for the PMD;
2.Oversee Record Management Unit (RMU) staff in implementing an effective and efficient records management;
3.Supervise the Procurement Monitoring and Tracking System of PMD;
4.Take the lead in the timely submission of statistical report of accomplishments, updates and other reports that may be required;
5.Ensure proper disposal of old records in accordance with Records Disposal Guidelines;
6.Gather data, prepare reports and ensure the timely submission of procurement requirements of oversight agencies; monitoring offices, bureaus, services and offices of the Department; as well as, all other compliance request of the AS-PMD and of the Department;
7.Provide technical assistance to various Offices, Bureaus, Services and Units of the department, as well as, the Field Offices;
8.Checks and review Contracts/ Purchase Orders and other procurement related documents in accordance with RA 9184 and its 2016 IRR;
9.Facilitate conduct of meetings and perform Secretariat Functions on PMD programs/activities; and
10.Performs other duties and responsibilities as may be assigned by the PMD Chief or the AS-PMD Director.

Initial Shortlisting:
Obtain 75% of the minimum total score of Education, Training and Experience (ETE);
Maximum Total Score of ETE only - 60%; 75% of 60 = 45%
Second Shortlisting:
Top five (5) highest rating but overall rating should not be less than 80%
If two (2) or more vacant positions with the same title and salary grade are published at the same time, and there is only one (1) longlist applicants provided by HRMDS, additional two (2) applicants for every regular position will be added to the top five (5) highest rating. However, all the additional shortlisted positions should meet the 80% cut off.
Consists of ETE, IQT, Special Examination, Competency-Based Interview and Performance Rating.
