JOB DESCRIPTION
Under immediate supervision of the Head of the Administrative Unit of Administrative Service- Office of the Director (AS-OD), performs technical functions on assigned representations, follows detailed rules and procedures; with limited latitude for the exercise of independent judgement, performs responsible sub-professional or professional work.
Functions and Responsibilities:
1. Draft/prepare communications such as letter, correspondence, and memoranda;
2. Monitor and consolidate the Quarterly and Annual Client Satisfaction Measurement Report (CSMR);
3. Monitor and act as administrator of the official AS email account;
4. Draft the indicative Project Procurement Management Plan (PPMP) of AS-OD;
5. Draft procurement documents needed for the purchase of goods for AS-OD;
6. Review submitted Performance Management Forms (IPCRF and CCEF) of the respective personnel of AS;
7. Performs other tasks required for the following focalship:
Act as the Designated Procurement Officer of AS; Act as the Performance Management System Focal of AS; Act as the Quick Response Team Focal of AS-OD; Act as the CSMR Focal; Act as the Records Officer for AS-OD; and Act as the Alternate Grievance Officer of AS8. Attend meetings, conferences and seminars/workshops on procurement, property, quick response and grievance matter;
9. Performs other related tasks that shall be assigned from time to time.

1. Memoranda, Terms of Reference, reports and other communication documents;
2. CSMR Quarterly and Annual Reports;
3. PPMP, Purchase Request, Requisition and Issuance Slip;
4. Summary of Performance Ratings;
5. Inventory of Officer records holdings and records disposal report; and
6. Other communications and reports as may be required.
