The WHS Permits Compliance Coordinator will be responsible for managing the renewal process of permits for Fulfillment Centers (FC), Delivery Stations (DS), Sort Centers (SC), Sub Same Day (SSD), and Storage & Distribution Centers (SDC) in Brazil. This includes Operational Permits, Fire Permits, Retail Product Licenses, as well as certifications from the Agriculture Ministry and Technical Councils (Pharmaceutical, Veterinary, and Chemical).
The role involves coordinating between consultants and internal stakeholders to ensure seamless exchange of information and documentation. The coordinator will oversee the entire permit renewal process, guaranteeing timely procurement of required authorizations and compliance with regulatory standards.
The WHS Permits Compliance Coordinator must establish trust with teams such as Construction, Launch, Environment, PXT, Procurement, RME, and Operations, maintaining consistent communication to ensure updates to permits and licenses align with any facility or process changes.
This position also requires using designated software or cloud-based platforms to manage permits, licenses, and critical documents. The coordinator will generate progress reports on renewal processes and perform regular site inspections to proactively address compliance issues.
Key job responsibilities
- Manage and execute the permits’ renewal process, in compliance with the applicable regulation (federal, state, and local);
- Coordinate the consultants involved in the permits’ renewal process;
- Serve as a connection between consultants and multiple internal stakeholders to collect and deliver the required information, reviewing and validating it previously, to ensure that it meets the requirements established by the authorities;
- Develop long-term collaborative relationships with the stakeholders involved in the process, to ensure that the risks related to the permit’s renewals are identified and communicated early;
- Maintain permanent communication with the operations areas to update permits and licenses each time modifications are made to the facilities or processes;
- Provide support to the sites during inspection visits by authorities; Prepare and follow up on action plans to correct findings;
- Conduct inspection visits to the sites regularly to identify permit-related non-compliance issues and suggest corrective actions.
- Prepare progress reports on the permit renewal processes;
- Maintain communication with WHS Site leaders and opetation leadership (Site and Station Leaders);
- Record and manage permits, licenses, and critical documents using specific software or cloud-based platform.
Basic Qualifications
- Bachelor's degree required, preferably in Chemical, operational or environmental Engineering, Veterinary Medicine, Pharmacist or related field (candidates in final year of studies will be considered);
- Experience in environmental, health, and safety permit processes (federal, state, and local);
- Knowledge of Brazilian EHS regulations and compliance requirements;
- Basic to Intermediate proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
Preferred Qualifications
- Bachelor's degree required (candidates in final year of studies will be considered);
- Demonstrated knowledge of Brazilian municipal and state permitting regulations and procedures;
- Previous experience in logistics, warehousing, or manufacturing operations within national or international companies;
- Proven track record in dynamic, high-growth organizational environments;
- Strong communication skills with demonstrated ability to effectively engage with senior leadership;
- Good adaptability and problem-solving capabilities in fast-paced business settings;
- English language proficiency at Basic or Intermediate level (written and verbal business communication);
