Personal Assistant to Senior DirectorPurpose of the role
Provide secretarial functional and general administrative support to the assigned executive exercising confidentiality, tact and diplomacy.
Key Responsibilities:
Perform operational tasks requiring knowledge of the assigned functional area and associated tools (SAP, Speedhire…).Provide assistance and answer questions related to the functional area asked by internal/external clients.Collect information and produce reports and documentation associated with the functional activities.Ensure the organization, maintenance, and accessibility of functional area documentation and reports.Participate in specific projects requiring functional area knowledge.Provide administrative support to managers and/or teams (reporting, event organization, travel) and coordination of teams within the organization.Handle supervisor’s agenda and ensure that the supervisor is reachable and that all pertinent issues are dealt with in a timely manner.Receive, screen, and direct incoming calls, mail, and e-mail.Prepare correspondence, reports, presentations, agendas, minutes, status reports, etc.Organize and coordinate staff briefings, events, and meetings for the entity, including travel request follow-up.Follow up on administrative requests (travel, expenses, absence) and approve routine requests within delegated authorities.Follow up on service requests for the organization supported.Set up, organize, and maintain project and administrative files.Greet and escort visitors and guests.Ensure the relay of company processes (policies, formflow, and tools training) at the organization level.Organize office allocation, new comer, and internal moves.Check that the office setups are appropriate and that office equipment is properly configured, installed, and maintained.Follow up on office facility services (phone, video, printer, stationery) and office allocation.Maintain necessary office supplies for the supervisor/group supported.Handle specific projects related to the activities of the entity requiring foundational knowledge in this functional area.The ideal candidate
A significant experience as personal assistant in a multinational environment and matricial type of environment
English fluent is required, another European language is a plus
Ability to adapt and learn
