Physician Practice Clinical Coordinator

GENERAL SUMMARY :

The Medical Assistant provides appropriate care to patients within the scope of Florida Statues Title XXXII: Regulations of Professionals and Occupations. Chapter 458. Medical Assistants assist in various aspects of medical practice until the direct supervisor and responsibility of a physician. Responsibilities may include patient care management, administrative and clinical procedures, managerial and supervisory function. In all practice endeavors the medical Assistant will adhere to ethical and professional practice.

The Clinical Coordinator is a partner to lead evidence-based patient care services through team education, rounding, training and continuous safety and quality improvement.

PRINCIPAL DUTIES AND JOB RESPONSIBILITIES :

Front Office Duties:

· Proficient in performing front office duties as needed to support patient care.

Clinical Duties:

· Encourages and demonstrates teamwork by reviewing Inbasket, schedules and following up on radiology and lab results, answering phones, communicating with patients.

· Pulls and preps next-day patient charts. Ensures all labs, scan results, etc. are available day of visit. Passes key information to doctors/clinicians and front office in a timely manner.

Demonstrates knowledge of office medical equipment and assists physician/APP as needed.

Maintains timely communication with patients re: surgery, scripts, testing.

Maintains efficiency in patient work-up flow and triage responsibilities.

Maintains accurate legible documentation of patient medications and messages, sample meds, and pharmacy documentation.

Keeps current with new technology and updates on care and medications.

Assists with Prior Authorizations, Referrals and procedural scheduling as needed.

Demonstrates care for one another by working all areas, open to change, sensitive to department needs, effectively participates in conflict resolution/problem solving.

Proficient at abstraction, chart prep, and rooming and assists as needed.

Reviews EHR Inbasket numerous times in the day

Other

· Assists in controlling supplies and maintains inventory weekly.

· Proactive in reviewing charts for upcoming days to see any gaps in care, insurance, orders, coding, referral

· Completes weekly rounding activities and reviews with practice leadership

· Audits clinical team members weekly to ensure standard work is being followed

Leadership/Supervisory:

· Assists with patient experience needs and mastermind ways to improve the quality of patient care provided by the facility

· Works to identify issues or create efficient systems and workflows within the clinic including clinical staff scheduling, education for staff

· Attend departmental meetings and stay up to date on all business initiatives related to the Practice

· Completes Team Huddles to present current data and assist in action planning.

· Attends POC meetings

· Reviews Event Reporting and assists leadership in creating and following action plans

· Communicates effectively with staff to ensure efficient patient flow.

· Assists with Development Conversations for clinical staff

· Precepts new clinical staff through skill validation

· Demonstrates good communication skills respectfully and courteously when interacting with patients, co-workers, physicians, and colleagues within department.

· Prevents casual overtime at all times and completes work in a timely manner.

· Demonstrates knowledge and compliance of Hospital guidelines and/or regulatory requirements.

· Contributes to the growth of the practice by managing patient flow and recommending follow-up visits if needed.

· All other job duties as assigned

Qualifications

KNOWLEDGE AND SKILLS REQUIRED :

· Individuals must possess these knowledge, skills and abilities and be able to explain and to demonstrate that s/he can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

· Always display a caring and professional consumer focus attitude

· Able to communicate in writing and verbally clearly, effectively and professionally with patients and co-workers.

· Proficient ability to utilize numerous technology software, such as the Electronic Health Record (EHR), word, excel.

· Shows initiative in growing professional knowledge by maintaining certification, BLS, and completion of an additional certification, related medical skill (i.e., phlebotomy certification), assists with practice huddles. Leads in a practice council or taking an AdventHealth Leadership/preceptor class.

· Completes Preceptor class(es)

· Strong aptitude to multitask and triage needs of patients and coworkers for efficient care

· Self-initiated professional and leadership development

· Able to verbalize clinical rationale and workflow efficiency and show initiative in creating solutions.

· Ability to work independently and in a team environment.

· High capacity to adapt to change

· Must always maintain confidentiality

KNOWLEDGE AND SKILLS PREFERRED:

· Leadership acumen

· Proficient in EHR

· Excellent computer skills and familiarity with Microsoft Office programs

· Demonstrate an understanding of standard clinical procedures, laws and regulations

EDUCATION AND EXPERIENCE REQUIRED :

· High School diploma/equivalent.

· Graduate of an accredited Medical Assistant program OR Licensed Practice Nursing

· Six (6) months of leadership experience

· Five (5) years medical office/ clinical setting experience

LICENSURE, CERTIFICATION OR REGISTRATION REQUIRED :

Licensed Practical Nurse licensure (LPN) – must be in the state of Florida OR Certified or Registered medical assistant certification from an AdventHealth approved certified body:

Current, valid BLS certification is required

LICENSURE, CERTIFICATION OR REGISTRATION PREFERRED:

· Completion of various clinical or medical office certifications (i.e., cardiology certification)

· Completion of various medical office or clinical skills (i.e., billing)
