We will be seeking an Administrative Assistant to partner with the Manager of Vehicle Test Operations. An ideal candidate in this role will be someone with a can-do attitude who can work in a cross-functional team based in Arizona and work with the teams in Newark, CA and New Liberty, OH.
The Role:
Coordinate internal and external meetings, prepare agendas, take meeting minutes and track follow up action items
Prioritize conflicting meeting requests and needs, and handle matters proactively, swiftly and to completion while meeting deadlines
Coordinate cross-functionally with our teams in the US, EU, KSA teams to ensure large-scale meetings are executed seamlessly
Responsible for general document processing.
Responsible for handling general administrative and general affairs (such as procurement of office-related items, repair, and maintenance of office equipment/water and electricity/office equipment…etc.).
Responsible for telephone answering and letter processing.
Handle the delivery of objects and postal services.
Responsible for receiving visitors, preparing meeting agendas and tracking documents.
Assist in the maintenance of office environment and equipment.
Other matters as assigned by the manager
The Requirement:
2+ years of Administrative Assistant experience preferred
Must have the ability to observe and maintain a high degree of confidentiality
Proficient in Microsoft Office Suite. Working knowledge of SAP is a plus.
Well-organized, detail-oriented, ability to multi-task with great follow-up skills
Strong written and verbal communication skills.
Strong team player with solid time management, multi-tasking and organizational skills
Effective at preparing documents/presentations, presenting and communicating important insights and recommendations
Experience in department event planning, organizing lunch meetings and off-site events
Ability to accurately solve problems and exceptional proficiency in data management
Professional writing skills which reflect correct grammar, spelling, punctuation, composition, quality, and fluent vocabulary in both Chinese and English is essential for the role.
Demonstrated ability to professionally deal with unexpected demands and incidents, and to professionally and tactfully interact with all levels within the organization
Ability to anticipate approaching problems and establish strategic plans for future success
Ability to perform tasks and achieve results with a high degree of accuracy and precision
Effectively operate with a sense of urgency and demonstrate the ability to meet deadlines and work intensely until projects/tasks are complete
Some Travel will be required for offsite meetings
Willingness to become certified in Proving Ground driving
Previous PG driver training a plus.
