Planned Maintenance Coordinator

SALARY:                     $75,000/yr

JOB SUMMARY: The Planned Maintenance Coordinator (PMC) supports the ARC Command Property Director with the implementation and general support of the deferred maintenance program used by the ARC Command. This position trains new Upkeep users and ensures the software is kept up-to-date and used regularly. Recommends updates, changes, or when additional Upkeep field training is needed. In addition to software oversight, this position plays a key role in supporting remodel and renovation projects across the Command. This includes assisting with planning, coordination, vendor communication, and tracking progress to ensure successful project execution.

ESSENTIAL JOB FUNCTIONS:

Property Maintenance Support

Establish and maintain property maintenance software for all facilities of the ARC Command. Coordinate with THQ property department as needed for implementation of property maintenance software. Travel to ARC locations as needed to gather data for upload into the property maintenance software. Train and assist end users in the use of the property maintenance software. Notify appropriate persons when maintenance requests in the system are not being addressed in a timely manner. Assist the Property Director with planned maintenance items, including maintenance contracts, repair quotes, and service agreements. Where there are maintenance agreements that need to be established by ARC Command, assist the Property Director in establishing these and ensure that said agreements are adhered to. Ensure repairs and replacement of items are recorded in the software system with the necessary backup and future maintenance schedules. Manage the software platform for all ARC Command properties, including officers’ quarters. Generate and provide reports as needed to help ARCC leadership make informed decisions.

Remodel/Renovation Project Support

Assist the Property Director with planning and execution of facility remodels and renovation projects, including store upgrades and residential improvements. Coordinate contractor and vendor communications to ensure timely bids, site access, and project updates. Help track project budgets, timelines, and progress; flag issues or delays as they arise. Conduct site visits throughout project phases to gather documentation, assess work, and ensure alignment with ARC standards. 50% travel in the field required, mostly within California, but also other cities within the Western Territory, including: Las Vegas, Phoenix, Tucson, Honolulu, and Denver. Perform other duties as required or assigned.

QUALIFICATIONS:

Bachelor’s Degree in Facilities Management, Construction Management, or a related field OR minimum of 3 years’ professional experience working in a maintenance related position. 5 years’ verifiable experience in maintenance and/or construction fields preferred. Valid CA/DL with clear MVR Check. Proficient in Microsoft Suite (Outlook, Word, Excel, PowerPoint, etc.). Ability to multi-task efficiently in a fast-paced environment. Detail-oriented and organized. Excellent organization, oral and written communication skills to work effectively with business partners and working groups to meet mutual goals.

PHYSICAL REQUIREMENTS:

Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or continuous basis. Ability to grasp, push, and pull objects such as files, file cabinet drawers, and other office equipment. Ability to communicate clearly on the telephone. Ability to lift to 30 lbs. Ability to perform various repetitive motion tasks.
