Planner / Scheduler
Work Schedule: 7am-3:30pm with a 30 minute lunch

Position is hybrid but will need to come onsite 1-2 times a month or as needed.

SUMMARY

The primary purpose of the Planner / Scheduler position is to plan and schedule work and processes according to standards to improve efficiency, quality and productivity in work. Minimizes total maintenance cost by maximizing maintenance workforce efficiency and productivity through detailed planning and scheduling of maintenance work orders. Administers work orders and requests for service by receiving work orders and requests; prioritizing work orders according to urgency, available resource requirements, completing appropriate work orders utilizing first In first Out(FIFO), and request documentation through CMMS software. Interviews work requestors, develops scope of work to estimate of craft, labor hours, manpower, parts, materials, equipment and special tools required to complete the job. Coordinates work activities with internal departments, external entities and vendors dispatching work assignments to Supervisors. Monitors and sustains work progress by tracking workflow and crew progress; verifying availability of parts and equipment; ensuring mandated inspections are scheduled and completed and rescheduled related to activities due to down time. The planner scheduler position will be the liaison with supervisor and other management regarding work execution, necessity of altering schedules and manpower status. Maintains records and files for reporting and analysis by preserving record and databases of work scheduled and completed. Follows up to verify completion of work and related activities and analyzing cost for staff and equipment for future planning efforts. Establishes short- and long-range plans by analyzing resources and backlog reports.

JOB SPECIFIC COMPETENCIES
Work Order Scoping and Planning
• Contacts and interviews clients within 7 business days of work order origination date to develop the scope of work and collaborates with the craft technicians to estimate labor hours, manpower, parts, materials, equipment, and any special tools required to complete the job.
• Verifies availability of parts and materials whether directly through vendors and/or the Warehouse.
• Obtains quotes from vendors and contractors for parts and services.
• Schedules all contractor and vendor work for PM's and follow up with reports for IDIQ compliance
• Plan PM and A ticket work orders with Client and Supervisors.
• Reviews top 12 Work orders for scheduling
• Coordinate FAR's with supervisors and customers as needed
• Provide weekly scheduling reports as needed
• Runs weekly PM/A Work Order Completed Report
• Inventory -maintain counts and ordering of parts associated with work orders
• Project planning/Scope development for PMs/IDIQ work
• Provide customer service by communicating and coordinating information about personnel, material, and time to accomplish facility maintenance and project work on a priority basis.
• Coordinates with clients and FPDC regarding client moves and reviewing CP&M submittals.
• Working with the Supervisors; to develop, maintain, and communicate a work schedule for the various craft technicians. For each schedule the equipment type, crafts
required, available hours, load leveling, work location, work status, needs to be considered.
• Follow-up with supervisors, technicians and WCC's to concentrate on scheduled work orders, due dates, schedule feasibility and backlog of work to be completed. Participate and contributes in weekly backlog review meetings. Summarizes and analyzes backlog man hours for each shop, allowing for quicker response to customer requests and a shorter close-out time for work orders
• Generate PM work orders on a daily basis.
• Establish short and long range plans by analyzing resources and backlog.
• Work closely with supervisors and technicians to review equipment descriptions, PM frequencies, task requirements, materials, and asset information for uniformity, accuracy, and completion. Build, correlate and examine the PM Master Schedule.
• Coordinates and schedules meeting with contractors on PMs.
• Coordinates and schedules outages to be completed on time.

Work Order Scheduling
•Coordinates work activities with internal departments, external entities, and vendors when creating work assignments to the technicians.
• Confirms receipt of parts and material to ensure job can be completed as scheduled
• Maintain liaisons with Supervisors and other management personnel regarding work execution, necessity of altering schedules, and manpower status.
• Enters technicians' schedules in Maximo per activity and estimated hours.
• Monitors and sustains work progress by tracking work flow and crew progress through our CMMS system and back log report.
• Coordinates and schedules contractor pm.
• Is responsible for the planning and scheduling of all PCPF Technicians.
• Prioritizes work orders based on First in first out(FIFO).
Develops Reports
• Apply knowledge of Maximo , Crystal Reports, Excel, and other software by designing a Weekly Performance Scorecard Report, which captures and measures significant Key Performance Indicators (KPI's). Advise on ways to improve and monitor performance.
• Provides Monthly, Weekly reports on Scheduling of work orders completed
• Provides Forecast report of PM generating.
• Provides Workload balance report

Team Coverage
•Back up the other work control coordinator duties as needed.

Associate's degree in a technical field or a journeyman's license in one trade. Three years experience in construction requirements, maintenance, estimating, project management or scheduling in a plant or large facility maintenance environment. May substitute required education degree with additional years of equivalent experience on a one to one basis. Must pass pre-employment skills test as required and administered by Human Resources.
