Job Description:
The Management Assistant will provide comprehensive administrative support to the Plant Leadership Team, with a significant element of communication and engagement activities for the factory workforce. This role is essential in ensuring smooth operations across the Plant Leadership Team and driving effective communication and associate’s engagement across our factory workforce.
As the organizational backbone of the Leadership Team, you will work independently on well-defined defined tasks while also being a key in fostering positive and collaborative work environment. Your contributions will help enable the leadership team to focus on strategic priorities, while you manage the day-to-day communication.
The Management Assistant reports to the Plant Manager - though tasks may be brought from the entire Leadership team and in exception the broader departments.
Some tasks are repetitive whereas only the content may vary, though in the creation of staff engagement and communications, a high level of organizational creativity is required.
What are we looking for?
Minimum of 3 years in an administrative or Management Assistant role, preferably in a manufacturing or industrial setting, in a communication, or a related field.Excellent communication and organizational skills in Dutch and English, proficiency in Microsoft Office Suite, and strong interpersonal abilities. Not afraid to explore the available systems and tools across the Mars organization.High organized and adaptable, with the ability to manage multiple priorities in a dynamic environment.Excellent interpersonal skills and the ability to build relationships at all levels of the organization.Attributes: Proactive, detail-oriented attitude and being able to handle multiple tasks simultaneously.Key competencies: Organizational and interpersonal savviness. Results oriented. Clear verbal and written communication style. Comfortable in connecting with people across different levels across the organization.What will be your key responsibilities?
Administrative Support: Manage calendars, schedule meetings, arrange travel and handle correspondence for the leadership team. Execution of specific regular and ad-hoc tasks as required.Communication Coordination: Act as a liaison between the Leadership Team and factory workforce, ensuring clear and effective communication.Employee Engagement: Plan and execute engagement activities, including events, training workshops, and team-building exercises.Event Planning: Organize and coordinate factory and plant team events, including materials, logistics and agendas.Administrative contact in organizational matters, including crisis and supporting the organization of external audits and visits.Workforce Support: Acts as contact for internal departments and Supply Leaders group and Plant Leadership Team.Act as the primary contact for coordinating external factory visitor groups.Raising and approving relevant Purchase Orders in line with organizational processes.Document & File Management: Organizing files and maintaining important documents.What can you expect from Mars?
