Overview Join our dynamic Portfolio Management Office (PMO) team as a PMO Analyst, a vital part of the broader Change and Operations function at Gallagher UK & EMEA. This role offers excellent opportunities for development, growth, and career progression within the organisation, providing essential services such as project and portfolio management, project governance, data analysis and reporting. Reporting to the Head of PMO, you will engage in both regular and ad-hoc activities, collaborating with onshore and offshore PMO team members. Our teams operate across multiple locations, and we expect you to align your work with team and business needs. Gallagher supports an agile working approach to meet business demands. You should have experience working with Portfolio and Programme Leads, managing change from investment planning to closure in a fast-paced environment. This involves stakeholder interaction at all levels and ensuring alignment with the Gallagher change governance framework. Proficiency in Microsoft tools and a Portfolio Project Management system is essential for supporting project processes and reporting needs. You should be capable of working independently within agreed timelines, identifying issues, and researching solutions for discussion and resolution. Additionally, you will support discrete, ad-hoc initiatives, adding value to the team. As a self-starter, you should manage your time effectively, transitioning seamlessly between agile and office working. With strong attention to detail and the ability to quickly review and analyse information, you will excel in a fast-paced environment with unexpected challenges. Experience working with senior stakeholders is essential, ensuring that any artefacts you create, review, or originate are of high quality and fit for purpose. How you'll make an impact Governance, Planning, Reporting & Control Collaborate with Divisional/Functional Portfolio/Programme Leads. Oversee investment pipeline and ongoing projects/programmes. Report on status, deliverables, milestones, and RAIDS, highlighting exceptions for escalation. Coordinate monthly Change Board presentations, schedule meetings, take minutes, and follow up on actions. Review project investment documents for alignment with the Gallagher Project Delivery Framework. Understand quality business cases/benefits to aid executive investment decisions. Ensure formal review and approval for changes in project funding, scope, and schedule. Identify and track dependencies within or between projects and programmes. Manage the portfolio-level benefits register, tracking planned, monitored, and realised benefits. Capture and analyse lessons learned for future projects and programmes. Support Programme/Project Managers with project standards across systems, tools, and templates aligned with Gallagher methodologies. Oversee financial reporting on project costs for programme/portfolio level, supporting Finance with accruals, chargebacks, and annual spend targets. Continuous Improvement Collaborate with the PMO Team and stakeholders to identify, test and implement improved processes and tools Contribute to assurance review development and support implementation. Participate in Gallagher improvement initiatives to enhance business operations. Review and update Standard Operating Procedures (SOPs), track approvals, and ensure offshore team training and SLA agreements. Provide feedback for learning and development opportunities. Stakeholder Management Support specific business or functional programmes/portfolios and build trusted stakeholder relationships. Contribute to organisational communications and present topics to teh wider Change Community. Develop and train Project Manager induction materials. Navigate matrix management to ensure consistent implementation of change processes across Gallagher. Project Portfolio Management (PPM) Tool Serve as Subject Matter Expert on Gallagher's PPM software, Planview, providing guidance, training, and knowledge sharing. Propose improvements to the PPM tool to support the framework. Collaborate with the Global PPM Application project team to align and refine global processes and capabilities. Support user onboarding for the PPM application using agreed company processes. About You Extensive experience in a PMO role, preferably within a large corporation, ideally in financial services. Understanding of change methodologies with relevant PRINCE 2/APM qualifications or equivalent. Knowledge of project delivery methodologies (waterfall/agile) and associated controls, from initiation to risk management and benefits realisation, including financial management. Strong expertise in PMO functions and managing activities for a change portfolio, with experience in business case and benefits articulation. Proven track record in identifying and implementing continuous improvements in change processes. Skilled in tracking project status and exception-based reporting at programme and portfolio levels. Excellent stakeholder management abilities. Eagerness to learn and use non-standard tools and systems. Experience in deploying project management tools and processes to stakeholders with varying levels of change knowledge. Familiarity with Planview Portfolio or similar software. Proficient in data analysis to identify root causes and propose solutions. Exceptional interpersonal skills, including effective communication with all company levels, including senior management. High accuracy in written communications, presentations, and Standard Operating Procedures. Ability to integrate processes and tools for precise reporting. Excellent presentation skills for plans, reports, and proposals for business stakeholders. Capable of participating in multi-disciplinary teams to successfully execute initiatives. Strong organisational skills to set priorities, develop work schedules, monitor progress, and report status. Delivery-focused with the ability to manage multiple priorities and adapt to changing circumstances. Proficient in MS Office, particularly Teams, Excel, and PowerPoint. Eligible to work in the UK. Willingness to travel to different UK offices as needed (infrequently).
