Job DescriptionThe Team and Job Summary
We are seeking a Portal Collections Manager to join our Finance team. This is a unique opportunity for an entrepreneurial, highly driven person with a well-rounded skill set and whose responsibilities extend beyond those of traditional collections roles. The ideal person for this role will need to not only have a strong grasp of accounts receivable and the collections process as it relates to customer portals but also be flexible and a strategic thinker able to take on a variety of tasks.
The Portal Collections Manager position will play a critical role in managing our accounts receivable processes with a focus on portal collections. This role will be responsible for ensuring the timely and accurate uploading of invoices, appeals/disputes and payments received through various online portals. The ideal candidate will possess a robust understanding of portal payment systems, exceptional attention to detail, and excellent analytical skills.
The Portal Collections Manager will have experience managing a diverse team in a remote working environment. This role will be responsible for all aspects of managing the portal collections team.
Job Responsibilities
Support the collection process of outstanding invoices using strategies and best practices to ensure timely payments and maintain positive client relationships.Gain and maintain a complete understanding of all elements, systems, tools, problems, etc., within the portal collections departmentManage and assist with documenting all processes, creation of policies, training guides, etc.Update the accounts receivable portal spreadsheet daily to reflect new invoices and payments received.Analyze the weekly reports received from portal vendors and use V lookup skills to add additional invoice data to the spreadsheet. Use as a tool for managing appeals/deductionsEffectively manage portal write-offs in an accurate and timely manner based on corporate policy.Help portal team reconcile payments received through online portals, ensuring accuracy and completeness of transactions.Prepare weekly portal status reports and distribute to the appropriate stakeholders.Help portal team reconcile portal payments with corresponding invoices, identifying, and resolving any discrepancies identified in a timely manner.Provide exceptional customer service to internal and external stakeholders, addressing inquiries and concerns related to portal payments promptly and professionally.Maintain a complete understanding of all portal activity, team productivity, problems, etc.Serve as a change agent for the portal collections department.Take ownership of necessary process changes, improvement opportunities and problem resolution.Effectively manage team with continual performance feedback, goal setting, performance reviews, weekly team meetings, etc.Interact with portal collections team, project managers, leadership, and business development team to identify and prioritize outstanding invoices for collections, resolve problems and ensure a smooth transaction flow.Set targets and monitor performance of the collections teamExcellent communication and interpersonal skillsAbility to handle sensitive, confidential informationCreate and maintain a positive team culture and working environment both internally, externally and cross-functionally.QualificationsRequired Qualifications
At least 3 years' experience managing a collections team or similar roleExperience working with ERP’s (Microsoft D365, SAP, Oracle, etc.)Knowledge of portal billing procedures and collection techniquesIntermediate knowledge of MS Office, databases, and online payment portals.Intermediate knowledge of pivot tables and v lookupsExperience using portal payment platforms and related accounting software.Strong analytical skills and attention to detail.Excellent communication and interpersonal skills.Ability to work effectively in a fast-paced, deadline-driven environment.Ability to work independentlyProven ability to collaborate with cross-functional teams.Prior experience in process improvement initiatives is a plus.Preferred Qualifications
