Posting Details Position Information Position Title Part-Time Administrative Assistant (Ozarks Public Health Initiative) Work Location Springfield Campus Department Ozarks Public Health Institute Pay Grade Unclassified Proposed Salary $15.00 hour General Function The Administrative Assistant provides administrative support for the Community Focus project as determined by the Community Focus Facilitator. The Administrative Assistant assists the supervisor with the program’s administrative activities, stores and retrieves information, schedules meetings and takes notes, and sends communication at the request of the supervisor. Description of Primary Duties 1. Provides administrative support to program by providing reception services, scheduling appointments, meetings, and travel, filing, researching files and records, and preparing and proofreading correspondence, reports, and other documents as requested. 2. Helps the program achieve its mission by performing processes related with the work of the program. 3. Supports the work of the program by maintaining an inventory of equipment and supplies, and utilizing the appropriate process to request purchases for the program. 4. Helps to organize and program events by securing space, equipment, food, preparing invitations, announcements, agendas, brochures, and packets, purchasing awards, making travel arrangements and reservations, and assisting with the event as it occurs. 5. Supports the administrative business functions of the program by creating communication, maintaining and updating the program’s project management software, maintaining the program’s database and website as requested, verifying student worker and GA time sheets, scheduling conference rooms, and maintaining security of equipment, files, and records. 6. Supports the program with grant deliverable documentation, monitoring and reporting, as directed by the supervisor. 7. Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with persons of diverse cultures, values, perceptions, and backgrounds. 8. Remains competent and current by attending professional development courses, software training classes, and courses and/or training sessions as directed by the supervisor or required by the University. 9. Supports the program by performing all other duties as assigned by the supervisor. Minimum Acceptable Qualifications Education/Experience: A high school diploma or equivalent and one year of general office experience is required. Additional Qualifications Skills: Keyboarding skills with speeds are required. A working knowledge of word processing and spreadsheet applications is required. A working knowledge of or the ability to learn and use database applications and project management software is required. The ability to operate and troubleshoot electronic office equipment, computers, and peripherals, maintain moderately complex filling systems and records, and make mathematical calculations is preferred. Effective verbal and written communication skills are required. The ability to train, review, and oversee the work of student workers is preferred. Active engagement and familiarity with the Springfield area, including social, cultural and political nuances is preferred. The scope of this job will require some travel and occasional attendance at evening meetings and/or events.
