Provides supervision, leadership, expert guidance, and training to the Sleep Medicine clinics and labs support staff. This position is responsible for managing two clinic locations and two research labs. The Practice Manager will represent the department in practice optimization and other process improvement, and quality improvement meetings, along with any other appropriate clinic and hospital-related meetings as needed, ensuring implementation and alignment of all processes related to these meetings within the clinics, labs, and hospital in accordance with OHSU standardized guidelines. The Practice Manager will ensure adherence to OHSU policies and procedures for the clinics and labs, including AASM, DNV, and State regulatory agency standards, and be responsible for general clinic and lab, operational, and facility management duties.
A member of a multidisciplinary leadership team with adult and pediatric outpatients who has the primary responsibility to manage and oversee all administrative, operational, and technical operations of the OHSU Sleep Medicine program for both adult and pediatric patients. Essential functions include management of operation and financial reporting, monitoring and improving operation functions while building and maintaining high-level relations and service with patients, direct reports, leadership, and administrative staff. Ensures department compliance, standards, and processes are being followed and met. Analyzes current processes and finds opportunities for improvement and future growth. Manages staff performance and professional growth, while fostering a positive work culture and environment. This position includes strategic involvement with the overall leadership of the Sleep Medicine program and partnership with Hillsboro Medical Center and Adventist Hospital.
Function/Duties of PositionPersonnel Management
Responsible for all staff relations including but not restricted to recruitment, hiring, performance management, disciplinary action, schedules, etc. for all direct reporting staff including hiring, supervising, and mentoring. In coordination with department and practice leadership, participate in recruitment and hiring of new faculty members. Responsible for assuring that all personnel comply and follow institutional requirements. Maintenance of accurate, secure, and confidential personnel records. Work with leadership team to strategize operations in order to obtain operational efficiency. Apply best practices to personnel performance expectations. Foster an open positive work environment with team building initiatives and opportunities for personal development.Program Operations
Establish short- and long-term management, organizational, operational, and financial plans to support the programs’ vision, customer service and overall financial goals. Provide oversight of program operations in support of those goals including coordination of staffing, space, and other resources available to program. Oversight of clinic and lab operations including documentation, billing, and collections to ensure more accurate collections of net billings, patient scheduling, handle charging/billing issues, and review direct referrals from outside providers as needed. Maintain AASM accreditation standards. Collaborate with personnel in hospital, clinics, SOM and other programs at OHSU as well as externally to solve problems, optimize success of program, and ensure cohesiveness between various facilities. Explore trends, new research, and opportunities for future growth. Continual maintenance and provision of reporting such as metrics, trend data, and other analysis on a regular basis. Continual assessment of processes and patient care service level to make improvement recommendations.Financial Management
Responsible for successful financial operations of department revenues and expenses. Work with financial services to generate monthly reports and present to leadership team. Strategize program growth and changes to optimize revenue. Develop annual budget and track variance monthly.Management of Staff
Manage all staff to assure policies and procedures are followed, and highest level of patient care is consistently delivered. Will directly oversee appropriate training and study performance to maintain high patient care standards of the OHSU Sleep Medicine program.Policy and Procedure Maintenance
Develop and modify policies and procedures as needed for changing accreditation guidelines and evolving models of care. Continually maintain policies to assure compliance with requirements set by the AASM and other accrediting bodies.Coordination with Allied Services
Communicates with Revenue Cycle Operations to make sure all clinic and lab visits are authorized within an appropriate amount of time. Assists with guidance troubleshooting authorization issues, helps coordinate peer to peer reviews and appeals for denied authorization requests. Coordinates rescheduling as needed for unauthorized studies.Performs other duties including being on call for urgent or after-hours issues.
Provides strategic support as needed.
