What You Will Be Doing:As the Preventative Maintenance Service Coordinator, you will have ownership over the entire Field PM process from beginning to end. Your goal is to ensure that your customer’s machines are properly maintained according to their maintenance schedule. You will be responsible for communicating with your customers and the PM Field Technicians regarding scheduling of services, ensuring services are performed correctly and in a timely manner, updating customers with the results of the services, and invoicing once services are complete. You will also have administrative duties in the office to include accounts payable, ensuring accurate technician efficiency reporting, and management of parts ordering/returns.
Primary Responsibilities: Create & manage EMT enrollment and service schedules. Maintain EMT exceptions and missed SMU updates. Contact customer, schedule PM services. Open work orders, order parts for services. Approve labor on work orders. Respond to incoming phone calls for service. Keep Cat Interact up-to-date with field services. Verify completion of services by technicians via follow-up. Forward inspections to customers via Cat Interact. Ensure assigned technicians are aware of company communications. Close work orders and maintain the WIP. Additional Responsibilities: Issue PO’s for outside purchases. Reinforce SOP’s with assigned technicians. Handle, research, and resolve customer invoice disputes. Run invoices & collect payment when required. Process expense reports for assigned technicians. Other duties as assigned by management. Who We Are Looking For:To be successful in this position you should have strong organizational skills when it comes to scheduling work and dispatching technicians. Good communication abilities will be essential for maintaining relationships with your customers and technicians. You should possess a sense of urgency and desire to provide superior customer service. The ability to work both with a team and independently is essential to this position as well.
Education/Experience: High school diploma or equivalent preferred. Required Qualifications/Skills: Minimum 2 years’ experience scheduling and controlling calendars for multiple people Basic use of Excel (creating columns/rows, copy/paste data, basic math computations) Ability to communicate successfully via phone, email and in person to customers, technicians and management Preferred Qualifications/Skills: Prior experience as a dispatcher or service coordinator in the heavy equipment or rental industry Knowledge of machine parts and/or operation Values:At Yancey Bros.
