What You'll Do

Reporting to the local Operations Services Manager, the Principal Assistant & Client Services Coordinator is a multifaceted role encompassing office coordination, front of house duties, and administrative support for several Principals & Partners.

 

Your responsibilities will include include management of reception and meeting rooms, event coordination, maintaining office facilities and broader office administrative needs. Principal support will include diary management, travel management and general administrative support.

As an integral member of Operations cohort, you will contribute to fostering strong engagement within the Auckland office, and values-aligned office culture, including support for office engagement initiatives.

Office Administration

Cover the reception desk and client reception areaPrepare meeting rooms for staff and client events as per booking requests, including configuration of tables and chairs, AV equipment, ordering and set-up of food and beverages, cutlery, crockery etc. Tidy and reconfigure rooms at the conclusion meetings Assist with office-related events and functions including set up, catering and other requirements as neededPurchase and stock control of corporate stationery, business cards, letterhead etc. and food and beverage suppliesPrompt response to Client Services distribution inboxProvide assistance with bulk photocopying, binding, large mail outs and ad hoc admin tasks as requiredAd hoc tasks and specific requests to ensure efficient & seamless running of the office

 

Principal Support

Proactively manage and coordinate daily schedules across several time zones and ensure Principal is fully briefed and organised Coordinate complex travel and related logistics including visa and passports to the best efficiencies and in accordance with BCG policySchedule client, case team and administrative meetings, as required, and all associated logistics.Support Principal’s commercial agenda, understand case & client requirementsServe as a vital point of contact for case teams with regard to Principal's calendar and logistics Manage requirements and provide administrative support as directed by PrincipalDevelop and maintain strong working relationships with internal and external stakeholders including clients

What You'll Bring

Previous experience in office administration; professional services experience is advantageous, but not essentialIntermediate technical skills (Outlook, PowerPoint, Excel, and Word)Strong organisational skills, with the ability to prioritise and manage competing deadlines effectivelyStrong communication & interpersonal skills; you’re responsive, intuitive and demonstrate a high level of emotional intelligence Enthusiasm; you’re a strong team player, who proactively seeks opportunities to assist othersStrong focus on providing excellence in service deliveryAdaptability and flexibility; you thrive in a fast-paced and changing environment bringing open-mindedness and positivity to challenges
