Overview:

We are seeking an enthusiastic, well-organized, and computer-savvy individual to join our Delivery Operations department at Xerox. The successful candidate will handle requests for invoices, drawings, literature codes, warranty documents, and various other documents. Our ideal candidate possesses excellent customer service skills and is an outstanding interpersonal communicator, ready to take on new challenges.


Main Responsibilities:

Responding to requests for invoices, drawings, issuing literature codes, warranty document handling, and retrieving various documents.Managing stored records by updating retention codes, dates, descriptions, and destruction dates. Discerning whether a record/retention code is appropriate for a given record, and if the record fits the criteria for being permanent.Keeping track of new truck folder records for a period of six months before moving to Iron Mountain.Responding to the truck plant requests for truck folder records in case of warranty issues. This requires the ability to locate a particular box or file in Iron Mountain that may contain the desired truck folder.Following protocol to notify owners of records of approaching destruction dates. Providing follow up notices if a customer does not respond within 45- and 30-day timeframes.Seeking final approval from legal and tax departments prior to submitting records for destruction.Learning the importance of securing boxes and being sensitive to the confidential nature of company records. This includes strapping boxes and the boxes to pallets.Learning the various sources of information to fulfill customer requests. This also includes various people within Daimler that can provide a document such as a drawing or invoice.Maintaining logs of monthly exports to Iron Mountain, especially for new records or boxes.Keeping track of all activities in a monthly spreadsheet to be sent to your supervisor.Being aware of records sitting too long and grouping records by department that can be returned to Iron Mountain.Making updates to the procedure to ensure that all processes are documented, and are helpful for cross training.


Skills and Qualifications:

Experience managing onsite operations for scanning and digitizing client email and other documentation.

Adapts departmental plans and priorities to address resource and operational challenges.Uses critical thinking skills to make informed decisions guided by policies, procedures, and business plan.Ability to manage and prioritize workloads to meet contractual Service Level AgreementsProven ability to work under pressure, handling multiple tasks to ensure timely completion of all activities.Analyzes complex technical problems and delivers solutions where precedent may not exist.
