**Mission Essential Designation**
In accordance with the Washington Metropolitan Area Transit Authority's Continuity of Operations Plan (COOP) this job has been identified as critical to mission essential functions. Incumbents in this role may be required to report to or continue to work in the event of authorized office closings or service suspensions due to severe weather, natural disaster, fire, operational emergencies or related events.
**Summary**
The Print Shop Coordinator provides exceptional customer service to all internal clients, working with staff to oversee job tracking, administer all procurement efforts, manage invoicing and monitor the budget. The incumbent assists in the management of vendor relationships and coordinates lost & found and mail room efforts and is instrumental in maintaining day-to-day efficiencies at the print shop and assisting with special projects as needed.
**Job Duties**
+ Provides exceptional customer service to all internal clients, acting as the primary liaison for the print shop.
+ Responds to inquiries regarding print shop capabilities and keeps customers informed of job status, including when orders are received and completed.
+ Assists in job tracking, receiving print requests, creating internal job tickets, and prioritizing workflow to ensure efficient processing.
+ Coordinates the workflow at the Office of Print Services and helps ensure all deadlines are met and departmental goals are achieved.
+ Assists the team in communication inquiries for both the Lost & Found department and the mailroom. Serves as the liaison between these two departments and internal customers.
+ Assists the manager in coordinating between third-party vendors (contractors) and WMATA mail clerks to execute orders requiring expert route management.
+ Supports the team with the handling of Lost & Found materials, ensuring deliverables reach their final destinations and that appropriate security measures are in place.
+ Serves as the department's Contracting Officer's Technical Representative (COTR), attending mandatory trainings, leading contract management processes, purchase order extensions, and all related procurement activities.
+ Collaborates with Procurement management on contract and inventory management to ensure compliance with federal, state, and Authority rules and policies.
+ Administers and maintains invoicing for the print shop.
+ Assists with monthly budgeting, working with supervisors to appropriately forecast and allocate funds.
+ Supports manager in managing vendor relationships, coordinating maintenance, upgrades, and addressing needs as they arise.
