About the Role
We are looking for an experienced Privacy Operations Manager/Privacy Operations Specialist to join our team. The Privacy Operations Manager/Privacy Operations Specialist will be responsible for helping ensure the protection and privacy of personal data in compliance with applicable laws, regulations, and policies. The position will be responsible for understanding the main data flows between Eightfold and our customers, vendors, and other third parties; enhancing and maintaining our data map and data inventory; supporting privacy champions within the organisation; and developing and maintaining documentation. The Privacy Operations Manager/Privacy Operations Specialist will support key privacy initiatives and a variety of privacy projects for the privacy compliance program.
The ideal candidate will have significant experience in privacy management, knowledge of software technology and cloud services and excellent analytical and communication skills. This position is an individual contributor role and reports to the Head of Product and Privacy Counsel at Eightfold. The position will work closely with the Information Security and Compliance team at Eightfold. The position will be based in Madrid, Spain.
Key Responsibilities:
+ Develop, implement, and manage privacy compliance processes, including data subject rights requests, data protection impact assessments (DPIAs), and records of processing activities (RoPAs).
+ Upkeep of Eightfold’s data inventory and carrying out data maps.
+ Lead the implementation, integration and configuration of privacy management platforms and related technologies to support privacy operations, enabling automated privacy workflows.
+ Implementing and scaling consent management systems to ensure regulatory compliance and enhance user transparency (including marketing and cookies).
+ Support vendor management processes, including privacy assessments in collaboration with legal and procurement teams.
+ Collaborate with legal, security, product, and engineering teams to ensure privacy is embedded in business processes and product development (Privacy by Design).
+ Utilise contract, documentation management, and other Legaltech tools to provide and support legal operations in the department.
+ Assist with internal and external privacy audits, including customer audits and certifications such as ISO 27701.
+ Develop and deliver training programs to educate employees on privacy policies and procedures
+ With privacy counsel, conduct privacy assessments and identify potential areas of non-compliance with privacy laws and regulations
+ Update existing and develop new privacy policies, contract templates, and procedures to ensure compliance with applicable laws and regulations
+ Support the review of data processing agreements with customers and vendors
+ Review and evaluate the privacy implications of new initiatives and products
+ Provide guidance to employees and stakeholders on privacy-related matters
+ Develop and deliver training programs to educate employees on privacy policies and procedures
+ Provide guidance and support to business units to ensure privacy considerations are incorporated into their activities and initiatives
+ Monitor and investigate privacy incidents and breaches
+ Support the maintenance of accurate and up-to-date records of privacy incidents
+ Work with legal and compliance teams to ensure compliance with data protection regulations
+ Support vendor compliance risk assessments with respect to the handling of personal data
+ Provide guidance on the use of data and data sharing arrangements
+ Utilise contract, documentation management, and other Legaltech tools to provide and support legal operations in the department
Qualifications:
+ Bachelor’s degree in information technology, business law, information security or a related field (or equivalent experience)
+ 3+ years of experience in privacy operations, data protection, or compliance roles
+ Hands-on experience with privacy management platforms (e.g., OneTrust) and system integrations
+ Knowledge of global privacy laws and frameworks (GDPR, CCPA, etc.), as well as technical privacy controls
+ Strong understanding of software technology and cloud services, associated business models, and technology industry trends
+ Proven ability to analyse and present findings in a clear and cohesive manner
+ Strong attention to detail
+ Ability to work independently and as part of a team
+ Strong organisational and project management skills
+ Professional certification such as CIPP, CIPT, or CIPM desired
+ At least 3 years of experience as a privacy analyst, privacy specialist, or manager at a B2B cloud software company
+ At least 2 years experience working with OneTrust or other tools used to facilitate data mapping, data inventories, data subject rights requests, and incident management
+ Proven ability to analyse and present findings in a clear and cohesive manner
+ Strong understanding of privacy laws and regulations, including GDPR and CCPA
+ Experience working with technology, IT systems, and data collection and governance practices
+ Strong attention to detail
+ Ability to work independently and as part of a team
+ Strong organisational and project management skills
+ Professional certification such as CIPP, CIPT, or CIPM desired
