In 2016, IRC Germany was founded and is involved in the areas of education, economic wellbeing, and safety, legal protection, and empowerment throughout Germany.
The Procurement Assistant is a full-time position providing support for the IRC Deutschland offices in Berlin and Bonn, home offices and support for international programs if needed. Reports to the Procurement Manager in IRC Germany and as a back-up to the Associate Director of Operations. The position does not have supervisory responsibility.
Major Responsibilities
Support in development of procurement specificationsProcess approved Purchase requests, create Purchase requests, ensuring data accuracyRequest for quotations from suppliers and support with requests from suppliersSupport with procurement for HQ units and RAI Germany programs and if needed outside of GermanyCreate vendors and work with the MDM team, vendor status maintenance, product creation in the systemManage the P2P process in INTEGRA and work closely with finance and other teamsMonitor the procurement e-mail inboxParticipation in PUTs (Projektumsetzungstreffen)Supports with managing supplier relationships and performanceMaintain suppliers file and documentationDocument supplier performanceIdentify and analyze compliance risk in procurement processesProvide consistent and constructive support to other departments to ensure compliance with policies and proceduresIdentify and report procurement red flagsEnsure compliance with donor regulations and update the Grants / Project specific procurement procedures tracker.Your Profile
Completed apprenticeship in a relevant field (such as logistics, industry merchant, etc.) and/or university degree in a relevant area (logistics, global supply chain/operations management, etc.) 1 years of work experience in Procurement or office management. Knowledge of generic procurement procedures and practices in the field of NGO and/or public service Able to work effectively in a highly matrixed structure Fluency in oral and written English and German (min. B2 level) Strong communication and interpersonal skills Proven problem solving and customer service skills: the ability to successfully provide support to staff Solid organizational skills: the ability to manage competing priorities and meet deadlines under competing deadlines in a fast-paced environment Flexible work attitude: the ability to work productively in a team environment & independently Good Computer skills: facility with MS Word, Excel, PowerPoint and email/internet software. Must have permission to work in Germany. You have German and English language skills at B2 level according to the Common European Framework of Reference for Languages (CERF)What We Offer
