The Miller Center of Public Affairs, a nonpartisan affiliate of the University of Virginia (UVA), seeks candidates for the position of Procurement Specialist, a member of a three-person team that supports the entire Miller Center.
The Procurement Specialist will:
Specific Duties
Review all procurement contracts and respond to questions regarding contract administration, purchase orders, UVA Travel & Expense Card transactions, UVA Internal Service Providers orders, honoraria, reimbursements, and receipt of goodsProcess and ensure prompt payment of purchase orders, invoices, reimbursements, and honoraria, completing and/or obtaining appropriate documentation and signatures in compliance with UVA policies and proceduresEnsure that all purchase orders have been fully paid or closed and all obligations have been fully liquidatedPrepare reimbursement expense reports for faculty and staffInitiate the registration process for all vendors and assist vendors with registration questionsWork with UVA Accounts Payable to assist vendors with resolution of payment issues or discrepanciesAssist in the creation of invoices for vendors’ services when needed to ensure information is complete and in compliance with requirements from UVA Accounts PayableWork with the Miller Center Events Manager and representatives from each Miller Center program to discuss procurement needs and timelines for current and upcoming events, to identify appropriate method of procurement, and to secure details for event budgetsMonitor and record payment of all event invoices, purchase orders, UVA Internal Service Providers orders, and UVA Travel & Expense card transactions on each event budget to ensure that payments have been made and that proper documentation is available for reconciliation of accountsMaintain comprehensive and up-to-date knowledge of relevant UVA procurement policies and procedures, systems, and forms and provide guidance to Miller Center faculty and staffAttend and actively participate in a variety of meetings within the Miller Center and UVAPerform other duties as assignedMinimum Qualifications
High School DiplomaWorking knowledge of Microsoft Word, Excel, and OutlookProblem-solving skills and the ability to recognize when a problem should be escalatedAbility to work independently and as part of a team and to understand that both abilities are important, with emphasis on being a team playerStrong written and verbal communication skillsMeticulous attention to detailDedication to upholding the values of the Miller Center’s faculty and staffPreferred Qualifications
Bachelor’s degreeTwo years of relevant experienceAt least intermediate-level skills in Microsoft ExcelExperience with Workday FinanceKnowledge of UVA Procurement & Supplier Diversity Services policies, procedures, and systemsCompensation and Benefits

Additional Position Information
This is a restricted position which extends through June 13, 2027. Renewal is possible, subject to performance, availability of funds, and need. (Most positions at the Miller Center are restricted positions.)
This position is eligible for a hybrid work environment.
