Production Control Clerk (SCA)
The Production Control Clerk will perform Operation Services/task in support of a Government Facilities Detailed knowledge of CMMS system including creating and updating Preventive Maintenance Program. Distribute Preventive Maintenance Work Orders, maintain accurate Labor utilization data for daily work activities; maintain an electronic data base of installed building equipment and report preventive maintenance activities executed in Archibus. Provide reception and dispatch services for unplanned maintenance services using Archibus (CMMS system of record)
Responsibilities
Update Archibus work management system with all planned and unplanned work
Takes personal ownership of each customer's satisfaction
Provides initial welcome and troubleshooting for all incoming service calls
Provides ongoing communication with each customer to assure total satisfaction
Resolves customer issues in a prompt and courteous manner.
Updates work order management system at each step of the service call process (incoming, dispatch, close out)
Ensure appropriate follow up with customers
Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption
Dispatch work to company technicians and subcontractors
Create recurring Monthly POs in JD Edwards E1 system to subcontractors
Create one-off PO’s in E1 for subcontractor reactive repairs
Create timely receipts of all PO’s in E1 for financial funding purposes
Update contract databases, as required, including reporting, training records, subcontractor information, safety data, etc.
Maintain electronic records for team and vendor contact information
Maintain electronic records of PO request and quotes
Input and Track WOs to ensure they are being closed out timely in Archibus for items sent to sub-contractors
Minimum Qualifications:
Ability to multitask and work without direct supervision
Ability to plan and manage work under time constraints
Think independently and problem solve
Superior customer service skills and orientation
Proficient in MS Office, and possess strong written, verbal and people skills
Strong organizational skills and collaborative style
Must be proficient at Excel Spreadsheets and have capability of customizing administrative reports
Experience utilizing Archibus or other comparable CMMS system, specifically preventive maintenance preferred.
A minimum of five (5) years enterprise level skill using a variety of automated office systems and software (e.g. Adobe, SAP, E1, etc.), to include Microsoft Office software, with special emphasis on Excel and PowerPoint.
Ability to maintain professionalism at all times and under stressful situations
SCA Description:
01270 PRODUCTION CONTROL CLERK
This position compiles and records production data for industrial establishments to compare records and reports on volume of production, consumption of material, quality control, and other aspects of production. May perform any combination of the following duties: compile and record production data from customer orders, work tickets, product specifications, and individual worker production sheets following prescribed recording procedures and using different word processing techniques. This Clerk calculates such factors as types and quantities of items produced, materials used, amount of scrap, frequency of defects, and worker and department production rates, using a computer, calculator, and/or spreadsheets. Additional tasks include: writing production reports based on data compiled, tabulated and computed, following prescribed formats, maintaining files of documents used and prepared, compiling detailed production sheets or work tickets for use by production workers as guides in assembly or manufacture of products. This Clerk prepares written work schedules based on established guidelines and priorities, compiles material inventory records and prepares requisitions for procurement of materials and supplies charts production using chart, graph, or pegboard based on statistics compiled for reference by production and management personnel. This Clerk also sorts and distributes work tickets or material and may compute wages from employee timecards and post wage data on records used for preparation of payroll.
