PROF Receptionist

Receptionist Monday – Friday 8am – 5pm Pay Range: $20.00-$22.00

Position Requirements: Incumbent must be familiar with office procedures as well as proper record keeping and filing procedures. Incumbent should have previous telephone answering and office support experience. • Strong communication and organizational skills • High level of professionalism and courtesy • Excellent time-management skills • Works well with others and can multitask • Proficient in Microsoft Office software • Great attention to detail Organizational Structure: This position reports to the Office Manager. The incumbent must interact effectively with all other positions in the organization. Activities and Duties: • Answer calls and transfer calls to the correct department, screen calls, and take messages. • Serve visitors by greeting, welcoming, and directing them appropriately. • Notify relevant employees when visitors arrive. • Keep an eye on the front door. • Answer visitors’ questions, calls, and emails, and provide them with the relevant information. • Maintain visitor, employee, and department directories and logs. • Follow security procedures, such as monitoring the logbook and issuing visitor PPE. • Organize the reception area while complying with office procedures, rules, and regulations. • Arrange meetings, schedules, and travel accommodations as instructed by Office Manager. • Keep a record of office supply inventory and notify needs to Office Manager. • Distribute paper products and water to staff. • Sign for deliveries and ensure all mail and packages are distributed accordingly. • Create sales quotes for sales staff. • Any other duties assigned by the Office Manager.
