Position Summary(Basic Job Function)
This is a temporary or an on-call position. Provides professional support. Responsibilities may include general business, science, medical, agricultural or other professional support functions. Term: Temps can work two (2) nine (9) month terms with a week break in service in between and at the end of the second term terminate for three (3) months or switch to an on-call. On-Call allowed to work 1039 hours in any twelve (12) month period.
Unit Position Summary
OSITION DESCRIPTION
The MSU Broad Art Museum seeks a motivated event assistant to provide planning and administrative support to the Museum’s Facility Rental program. The person in this position will gain experience in event sales, client communications, event planning and vendor coordination. Informed by experience in event execution this role will provide accurate, timely and clear communication to clients bringing their events to the contemporary art museum setting. The primary responsibility of the Event Sales Assistant will be to provide logistical support and exemplary customer experience to both the museum’s clients and operations staff.
DURATION AND COMPENSATION
This is a temporary remote position. 4 weeks notice will be given for position end date. Work hours will be a minimum of 2 hrs/day M-F for a total of 10-15 hr/week. Work hours to be coordinated in advance.
DUTIES
+ Maintain functional knowledge of museum operations, guidelines, initiatives, and event goals.
+ Facilitate exemplary customer service for all potential, current and past clients through timely and effective communication.
+ Maintain detailed and professional event documentation.
+ Follow established calendaring procedures to support space management and event success.
+ Initiate and execute client contracts, tracking and billing utilizing Altru (CRM).
+ Schedule ancillary services as appropriate per event including – museum staff, custodial, catering, event rentals, décor, etc.
+ Provide ongoing support throughout the planning process to ensure event success.
+ Provide comprehensive planning and communication support to Museum staff in advance of event execution.
+ Other department support task as assigned.
Desired Qualifications
+ Experience planning successful events in museum setting.
+ Experience managing events including coordination with vendors, clients and staff.
+ Excellent customer service, communication and interpersonal skills are required.
+ Working knowledge of event equipment including audiovisual technology.
+ Strong organizational skills and attention to detail are required.
+ Computer skills including Microsoft Office software and Teams.
+ Interest in contemporary art and/or museums preferred.
